1:1.56 relatively new to the Software System um
1:4.12 and so we'll be talking a little bit
1:5.80 about the fundamentals behind the
1:7.56 software as well as how to use the basic
1:10.04 features in our web application as well
1:12.96 as our teams and Outlook Integrations um
1:16.16 I do want to mention that you we do
1:18.24 cover other topics with the webinars and
1:20.76 so if there's something here that you're

1:25.80 webinars so let's start with the
1:27.80 challenges that I've seen customers face
1:30.04 over and over again um over the past
1:32.32 decade or so I've talked to thousands of
1:34.16 customers and interestingly the
1:37.08 challenges remain the same uh first
1:39.52 there's three reasons customer come to
1:41.04 part Matrix to be better at keeping
1:43.20 track on the status of work across many
1:45.36 areas of responsibilities and then
1:47.52 secondly to create alignment across team
1:50.20 members so then everyone knows what's
1:51.96 important and then thirdly to take back
1:54.32 controls of emails and meetings and so
1:56.28 what that means is that um you're
1:57.84 actually able to focus on key Tas
2:0.40 as opposed to being always chasing that
2:3.20 last task that you know you were
2:4.88 assigned
2:5.76 to and interestingly um it's just as
2:9.16 important to look at what happens when
2:10.88 we don't prioritize and uh the reason I
2:14.00 bring this up is because I'm constantly
2:16.32 tackling this myself because you know I
2:19.08 have just so many things on my plate at
2:20.52 any point in time it's so challenging
2:22.92 and anytime that I find myself not
2:25.24 focused on the most important task I
2:27.68 find that I start losing sight on what's
2:30.16 important and and end up working on the
2:32.28 wrong things and so you could get really
2:33.92 deep into the woods every single day and
2:36.88 work on things that don't truly matter
2:39.40 and then at the same time you start
2:40.72 feeling busy but you're not meeting your
2:42.32 goals right that's because we're um just
2:45.88 working down the wrong path and we're
2:47.64 not working on things that are truly
2:48.96 important and then lastly you're
2:50.96 completely overwhelmed by emails and
2:52.52 meetings and so I get hundreds of emails
2:54.84 per day it's very very difficult to be
2:56.84 on top of that and so for me I always
2:58.60 try my best to prioritize those most
3:0.80 important emails to make sure that I
3:3.00 actually uh will get to them at some
3:7.72 point so party Matrix is a comprehensive
3:11.16 email priority and project management
3:13.32 software and it helps at three different
3:15.44 levels I think uh at the individual
3:17.48 level it helps you prioritize your most
3:19.88 important task and emails every single
3:21.68 day when part Matrix was first created
3:24.44 15 years ago it was a software for
3:26.72 individuals and so what it did was it
3:28.76 helped an individual prioritize their
3:30.72 task and then over time what happens is
3:33.60 that we start realizing wait a minute if
3:35.88 you're able to prioritize your task
3:38.04 imagine if you can prioritize if you can
3:40.68 actually show those priorities to your
3:42.28 team members and then be able to see
3:44.80 their priorities and so that's how part
3:46.64 Matrix helps teams become aligned on not
3:49.52 just personal priorities but ACR across
3:51.68 team priorities and then lastly as party
3:54.56 Matrix is used within your organization
3:56.84 and as you create more and more projects
3:58.80 and use it over over years perhaps it
4:2.00 creates what's called a single source of
4:3.48 Truth to help everyone become more
4:5.04 efficient and more effective so imagine
4:7.24 being able to understand what's not just
4:8.84 priority today but what was priority in
4:11.52 the past right and so the whole goal of
4:13.88 patrix is to be able to give you that
4:16.56 insight and that visibility on what's
4:18.36 truly important at any moment in
4:21.20 time so what makes patrix better is that
4:24.24 first we're the only party M we're the
4:26.44 only software that's Microsoft 365
4:29.40 security certified in the teams app
4:31.96 Outlook app and web app um and we're
4:34.92 actually very very deeply integrated
4:37.00 into teams Outlook and co-pilot now you
4:39.88 don't have to be a Microsoft user to use
4:41.88 prot Matrix the software solution works
4:44.56 completely independently of the
4:46.12 Microsoft ecosystem but if you use
4:49.12 Microsoft um Office 365 or the like then

5:8.84 where you can just talk to their Ai and
5:11.08 you can actually ask it to do stuff
5:12.68 inside pry Matrix so that's really
5:14.16 really powerful I won't be showing that
5:16.00 today but if you're interested in that
5:18.28 for Enterprise organization definitely

5:40.48 every task management uh software under
5:43.16 the sun right and there's just thousands
5:44.84 of them so many project management
5:46.76 software there's thousands of them but
5:48.96 what's really interesting is at the end
5:50.80 of the day it doesn't matter what the
5:53.08 software is it matters how you use it
5:55.60 and how you think about priorities and
5:57.44 so we are focused on a very specific
5:59.64 specific approach to prioritization uh
6:2.72 which again I'll walk you through but
6:4.32 you'll see that's front and center for
6:6.00 everything that we
6:7.16 do and then fourthly party Matrix
6:9.76 provide what I call people Centric
6:11.24 collaboration as well being able to
6:13.56 understand what priorities are within
6:15.48 context is so important so you're always
6:18.56 thinking about what you have to work on
6:20.00 in the context of uh projects but also
6:23.04 in the context of people what do I have
6:25.04 to do for this person what do I have to
6:26.68 do for my manager what do I have to do
6:28.20 for my colleague and so I was try to
6:29.80 show you that as well and then lastly
6:31.76 party Matrix is available as a standard
6:33.88 software um as a service solution but
6:36.48 also we have a HIPPA compliant solution
6:39.00 for healthcare Life Sciences as well as
6:41.36 an Azure government Cloud solution for
6:43.32 state and local governments and then of
6:45.36 course we have Enterprise Solutions on
6:47.28 private hosting so again you know many
6:49.84 of you will start the software at the
6:52.12 SAS and and stay there but for those
6:54.68 within your organization if you're
6:56.04 looking for some of these other options

7:14.08 that priorities are constantly shifting
7:16.72 right it's not a static thing it's a
7:18.96 dynamic thing now you can think of goals
7:23.00 maybe they're a little bit more static
7:24.40 right you don't have you don't have a
7:25.56 new annual goal every week but working
7:28.48 towards that goal might be very very
7:30.24 different and so uh being able to be
7:32.40 flexible on that is so crucial so the
7:34.96 way it works with petrix is it offers
7:36.88 one place where everyone can go to to
7:40.20 know exactly what needs to be done and
7:43.72 one thing I want to know you know after
7:45.88 this webinar or as you're listening to
7:47.40 this is that when you use pry Matrix you
7:50.52 should be able to achieve these things
7:52.12 that I'm talking about and if you're not
7:54.64 then we're we're doing it wrong right
7:57.52 and so the way you're using it might not
7:59.60 be as effective so if you find that

8:12.04 for so let's talk about the fundamentals
8:14.80 behind prot Matrix so there's a famous
8:17.00 quote attributed to former President
8:18.76 Eisenhower what is important is seldom
8:21.08 urgent and what is urgent is seldom
8:22.96 important now what I really like about
8:24.84 this quote is that it breaks down all
8:27.16 these things that we work on into the
8:28.68 two dimensions of urgency and importance
8:31.76 and what's fascinating is that a lot of
8:33.88 us you know myself included were
8:36.00 constantly being bombarded by urgent
8:38.52 things you know that last email that
8:40.64 that came in um a message from a
8:42.52 customer a message from your teammate
8:44.12 said hey can you look at this can you do
8:45.64 this and so forth and you know I I
8:47.84 struggle with that every single day the
8:50.36 question is is that the most important
8:52.40 thing that you need to work on at this
8:54.20 moment in time and more often than not
8:56.96 the answer is no that last email that
8:59.04 just came in is not the most most
9:1.08 important email you if you could answer
9:3.24 only one email it probably isn't that
9:5.48 last email that came in right it's
9:6.96 another email that's hidden under the
9:9.08 other 15 emails that you have and so if
9:11.72 you think about your task if you think
9:14.40 about everything you have to do uh we
9:16.68 tend to struggle with understanding
9:19.20 where we should spend our time and
9:20.60 instead we usually do that last thing in
9:22.88 is first thing out and so that last task
9:25.12 that person assigned to you is the one
9:26.52 that you end up working on that last
9:28.24 email that comes in is the email that
9:29.68 you respond to so there's something
9:32.40 called the Eisenhower Matrix that
9:34.04 responds out of this particular
9:35.52 philosophy it's just a simple yet
9:37.76 powerful time management framework that
9:39.80 helps you prioritize based on importance
9:41.64 and urgency and in instead of having one
9:44.24 long to-do list you categorize
9:45.96 everything into four quadrants based on
9:48.68 again the dimensions that I have the
9:50.24 important and Urgent the important and
9:51.84 not urgent and so on and then thirdly
9:54.48 what it does is it helps you prioritize
9:56.20 your task or at the very least it gives
9:58.88 you visibility on what are the things
10:1.84 that you should be working on if you
10:5.00 actually were to think about where the
10:7.16 best allocate your resources so those
10:10.32 four quadrant become the do now right
10:13.12 the things you should truly be spending
10:14.68 your effort on at any point in time the
10:17.76 plan quadrants those are the important
10:19.44 but not urgent the things you should
10:20.72 start thinking about whenever you have
10:22.88 the extra bandwidth and then the not
10:25.08 important but urgent perhaps you could
10:26.92 delegate that to somebody else um you
10:29.00 know your personal assistants or a
10:31.92 another team member whose priorities are
10:34.76 those particular tasks or not do them at
10:37.68 all and then lastly instead of looking
10:40.52 at anything that's not important or not
10:41.96 urgent you have what's called your inbox
10:44.08 this is where you track all those things
10:46.20 that you might have to do but you don't
10:48.56 know exactly where it fits in
10:50.56 yet so now this is a very simple
10:53.56 exercise but imagine if you take out a
10:55.96 piece of paper at this moment and start
10:57.68 writing down all those things you have
10:59.00 to do
10:59.80 right initially it will be a list and so
11:2.12 you have the things at the very top all
11:3.84 the way to the bottom you have maybe 15
11:5.60 things or so now my challenge to you is
11:9.32 take those tasks and put it into this 2
11:11.92 by two Matrix these various buckets the
11:14.00 important urgent bucket the important
11:15.52 but not urgent bucket and so forth
11:18.32 then that's how when you start your day
11:21.32 you should look at that that Matrix and
11:24.76 understand where you can best time spend
11:27.04 your time and
11:28.08 effort the next part is where it's
11:30.16 really fascinating ask all your
11:32.52 co-workers to do the exact same
11:34.92 exercise then walk around the office and
11:37.56 start comparing notes and the magic that
11:40.84 comes from this simple exercise is
11:43.08 coming to an agreement or realization
11:46.20 even that maybe your priorities aren't
11:48.76 the same as your co-worker priorities
11:50.48 which isn't might not be the same as
11:51.92 your manager's priorities which might
11:53.56 not be the same as your client's
11:55.52 priorities and which might not be the
11:56.84 same as your executive team's priorities
11:59.28 and that is where it is so interesting
12:1.84 so many of us go and plan our day and
12:5.08 plan our tasks and plan our goals within
12:7.64 the silo of our
12:9.36 own you know list but instead we don't
12:12.56 really we rarely get the chance to
12:14.20 compare the notes and make it easy to
12:16.72 actually look at everyone's
12:18.52 priorities so the four quadrant
12:20.44 Eisenhower Matrix create alignment
12:22.40 because it forces you to prioritize from
12:24.16 the beginning again if you brought that
12:26.36 to-do list with 15 items in one one list
12:29.24 and show to your co-workers you may or
12:31.80 may not see those alignment or
12:33.64 misalignment that easily and because
12:35.40 you're like oh yeah I have the same 15
12:36.92 items but the difference is how they fit
12:39.48 within the bigger picture and what I
12:42.24 think is the most fascinating thing
12:43.84 about using petrix isn't about
12:46.76 necessarily finding what everyone agrees
12:48.72 on it's discovering disagreements on
12:52.16 what should be a priority when it isn't
12:54.36 and this is where patrix creates the
12:58.04 most value at any point in time um so
13:1.88 you know if we are not aware of all
13:5.52 these mismatches in Prior priorities
13:7.80 then we wouldn't be able to talk about
13:9.12 them and so um when I think about party
13:11.68 Matrix and when I give customers
13:14.64 guidance on how to best use patrix I
13:17.44 always think of patrix as a
13:19.28 communication tool so what that means is
13:21.68 that you are looking at it as a way to
13:23.48 communicate your priorities to your
13:24.88 co-workers and then vice versa and then
13:27.60 always be looking at petric every single
13:29.76 day to ensure that you guys are
13:31.40 constantly aligned and being able to
13:33.80 share the same part Matrix to your
13:35.92 external clients and have them
13:38.40 understand and come to agreement as well
13:40.36 is just such a powerful
13:43.40 thing a couple of key tips and ideas uh
13:46.44 right before I jump into the the
13:48.12 presentation the product presentation
13:50.52 one if everything's important and Urgent
13:53.28 then nothing is important and Urgent if
13:55.48 you take all those 15 items that you
13:57.20 wrote down and you put them all in
13:58.52 quadrant one then you've done nothing
14:0.36 good right um instead my rule of thumb
14:3.00 is 20% or 25% no more than 20 to 25% can
14:7.56 be in quadrant one because that forces
14:9.84 you to make those hard
14:11.72 choices use party Matrix to sync up on
14:14.80 goals with team members um there's no
14:16.80 reason why you have to stick with one as
14:18.44 an H Matrix in fact in general my advice
14:21.72 is to create multiple matricies uh
14:24.16 depending on the needs that you have and
14:26.00 so that could be on each project you
14:28.24 work on each goal you have each
14:30.52 initiative um or each each team that you
14:33.36 work with and then you now have these
14:35.84 matrices that you can use to talk to
14:38.28 others and able to clearly clearly
14:40.64 communicate exactly uh what everyone
14:43.88 considered to be
14:45.32 priorities regularly assess uh reassess
14:49.36 and adjust your strategy based on
14:50.84 results if you have party Matrix and you
14:53.24 start working on the things in q1 but
14:55.00 you find that you're not moving the
14:56.12 needle then maybe the way you prioritize
14:58.84 is is not optimal and so that gives you
15:1.20 a chance to go and reflect and see are
15:3.52 we working on the right things uh
15:5.44 similarly party Matrix gives you these
15:7.44 reports that let you see where team
15:9.24 members are spending their time are team
15:11.08 members spending the time on Q2 or Q3
15:14.20 instead of q1 well so know to have that
15:16.96 visibility makes it so easy to fine-tune
15:20.16 your
15:21.32 approach one of the strategies I've seen
15:23.72 very successful and I continue to give
15:26.20 this as a a general advice which is
15:29.16 project your party Matrix project onto
15:31.96 the big screen during your team meetings
15:34.00 it is so easy such a trivial exercise
15:36.56 you have a project called team
15:38.16 priorities within those team priorities
15:40.04 you write down everything that you know
15:41.76 if you're the manager you go and write
15:43.36 down all the things that that's on the
15:45.16 plate for everybody and then you have
15:46.48 one central place you project on the
15:48.44 screen then when you go through and you
15:50.24 have your discussions and your meetings
15:52.08 you can truly talk about the things
15:54.68 that's in quadrant one and then again if
15:56.80 you identify topics that not there now
16:0.36 you've suddenly uncovered issues that
16:2.72 you weren't aware of

16:38.52 show you every feature and that's
16:39.80 something that you can explore on your
16:41.04 own but uh hopefully this will be
16:43.16 helpful and if you do have questions

16:51.36 at okay and now I have my patrix open um
16:55.64 so this is the web app so patrix works
16:57.68 on every single major platform this a
16:59.60 desktop app for Windows Mac you can use
17:2.64 the web app obviously from any browser
17:5.44 also you have the application inside
17:7.20 teams and inside Outlook and so on I
17:9.76 generally show the web app because the
17:11.36 web app is universal right doesn't
17:12.88 matter what platform you're on you can
17:14.40 always go to prometric.com or go to
17:17.44 affluence.com and click on the web app
17:20.24 as you can see front and center is the
17:23.08 four quadrants like I mentioned for us
17:25.52 using the four quadrants is the core of
17:27.80 what P Matrix is all about everything
17:30.24 that you do should not be a list it
17:32.04 should be within the context of an
17:34.56 additional Dimension so in this case
17:37.04 importance and urgency as you can see
17:39.56 the top left is do now do later delegate
17:42.08 an
17:43.08 inbox now let me give you a sense of a
17:45.40 structure of Prometrics on the leftand
17:47.32 side this is your list of projects and
17:50.40 so um you can think of projects as being
17:53.92 again something like you know your
17:55.72 personal priorities might be a project
17:58.04 your team prior priorities might be a
17:59.76 project your goals for 2024 might be a
18:2.56 project and so on and so on so there's
18:4.80 no reason why you can't have 10 20 30
18:7.72 projects in my main account and my work
18:10.08 account I have more than 300 projects
18:12.16 and that's perfectly okay because they
18:14.88 each are defined for that specific
18:17.44 purpose and in fact it helps me stay
18:18.92 organized a little bit more instead of
18:20.72 having one super super big Matrix to see
18:24.24 everything now um when I select a
18:26.76 project again I have the four quadrants
18:28.44 and let just say I want to create a task
18:30.36 so one of the tasks I have to do
18:31.80 obviously is follow up with webinar
18:35.76 participants and then when I type a task
18:38.24 in patrix I can actually just go and say
18:41.04 do tomorrow at 2 pm um and so we use
18:44.44 what's called natural language to
18:46.36 understand what you type in there and
18:48.52 when I say do tomorrow 2 p.m what
18:51.08 happens is patrix will automatically
18:53.28 create the task and then on the right
18:55.68 hand side here it'll set the due date
18:57.44 for me and it uses my local time to set
19:0.24 the the due date uh the due time um so
19:3.80 when I select this task and after I
19:5.88 create it the right hand side becomes
19:7.80 What's called the item details and this
19:9.92 is where you can add additional
19:11.40 information around the task itself in
19:14.16 general you don't have to add too much
19:16.32 right and when you're first starting PR
19:18.00 Matrix your task might just be the item
19:20.64 name and the due date and so forth but
19:23.40 as you use prod Matrix more you might
19:25.16 want to go and add notes or subtask or
19:28.12 effort Etc but that's completely
19:30.20 optional so when we think about the 20%
19:33.04 of the features within the item details
19:35.64 that I think you should use I'm going to
19:37.08 go through them right now first there's
19:39.16 something called star so when you star a
19:42.24 task for example let's say I click on
19:43.96 that star right there it puts a star on
19:46.16 the icon as well what happens is that it
19:50.16 pushes to this task to the top of that
19:52.52 list within the quadrants so if you have
19:55.56 five tasks starring isn't that
19:57.60 necessarily useful right because you can
19:59.28 easily see them but as you have 50 or
20:2.28 100 you want to know what are the things
20:4.40 that you should care about every single
20:6.08 day and so for me personally what I do
20:8.32 is I would star maybe five to 10 tasks
20:11.32 within a critical project that I have
20:13.68 and then I would star specific projects
20:15.92 maybe five to 10 active project at any
20:17.96 point in time it allows me to jump in
20:20.44 and find out exactly what's on my plate
20:22.68 at any point in time so I really like
20:24.64 the star option for that reason and then
20:27.28 below that you actually have icons
20:29.16 so icons is a very visual way to
20:31.84 actually choose sort of a representation
20:34.24 for this particular task one area that
20:36.72 I've seen customer use quite a bit is
20:38.68 actually the color coding so red yellow
20:41.48 green might be just three very simple
20:43.48 options for you to go and build to
20:46.08 signify that this task is on schedule or
20:48.12 not on schedule
20:49.60 Etc below that you have ownership so
20:52.76 when you think about a task in a
20:54.88 personal priority project May par me
20:57.12 tricks U Maybe I'm always the person
21:0.00 responsible for a task but in the team
21:1.92 environments the owner might be somebody
21:3.96 different right and so you could have
21:5.84 you know your team of five you might
21:7.76 have multiple people responsible for
21:9.32 different things and so for example
21:10.88 let's say if I want to delegate this to
21:12.48 another person I simply click on that
21:14.76 and then change their Avatar and so now
21:17.04 you can see that within the Matrix
21:18.72 itself their avatar shows up they can
21:21.20 upload their picture if needed but in
21:23.20 this case e represents the initial of
21:25.48 their their name and so if I were to
21:27.84 have this project with a bunch of task
21:30.04 in it it is very easy for me to see okay

21:38.24 quadrant and if I was a manager I could
21:41.08 be able to uh see whether or not the
21:43.64 right people are assigned to the right
21:45.88 task to the right of that you have due
21:48.88 dates and reminders and these two uh
21:52.56 features I think are the most powerful
21:54.84 and should be the most used features
21:57.24 when you use prot Matrix
21:59.12 so if you think about your task and you
22:1.56 think about the concept of urgency if
22:4.52 you don't have due dates how would you
22:6.20 know if something's urgent or not right
22:8.88 and so for me um every time I create a
22:11.72 task and it's an important task I always
22:13.88 set a due
22:15.00 date the due date may not always be
22:17.68 accurate right and I might have to
22:19.16 change it but that's okay inside PR
22:21.88 Matrix you're able to change the due
22:23.52 dates you're able to update them you're
22:25.36 able to um modify them and then per
22:28.00 Matrix offer a record of all those
22:30.12 changes for me so when I create a task
22:32.44 and I assign to a coworker that's again
22:34.56 an important task I always set the do
22:36.56 date for that reason and if the task is
22:38.24 overdue and we need to reschedule it
22:40.36 we'll reschedule it and now we can see
22:42.32 okay you know what this is reschedule um
22:44.72 and I can see the record of all those
22:46.12 changes or if the coworker changes the
22:48.20 due dates I see a record of that as well
22:51.60 now what's the difference between due
22:52.64 dates and reminders let's just say if
22:54.96 you have to work on um a really
22:57.40 important project and so for example
22:59.32 taxes were due um a while back and so
23:2.40 imagine you work on taxes and it's due
23:4.16 on April 15th so you set the due date
23:6.24 April 15th and then you wait until April
23:8.52 15th to get started that's not going to
23:10.40 work so well right and so the way it
23:12.68 works is then maybe you want to set a
23:14.68 reminder ahead of time that says remind
23:17.28 me to work on these the taxes a week
23:19.56 prior or better yet remind me on a
23:22.48 weekly basis until I get this done so in
23:25.76 this particular case let's just say I
23:27.32 have the due date here May second at the
23:29.60 very bottom here I'm going to say Remind
23:32.04 me daily again PR Matrix uses natural
23:35.52 language to interpret that and now on a
23:37.88 daily basis I'll get a reminder until I
23:40.64 get this task done when I have again
23:44.12 important task I always set due dates so
23:47.24 for example let's say I need to follow
23:48.96 up with a customer I would say due in
23:51.04 one month and remind me monthly now on a
23:53.84 monthly basis patrix will send me a
23:56.00 reminder it says hey you got to work on
23:57.88 this task and if I don't get around to
23:59.68 it next month it'll send me a reminder
24:1.56 again it's so powerful so useful um and
24:5.24 you should definitely use it for every
24:7.20 single thing that is critical within
24:9.56 your work
24:11.16 pipeline um below that you have the chat
24:13.56 section and the chat section as you can
24:15.24 see I'm interacting with it right but
24:16.84 it's also a place for you to interact
24:18.40 with your co-workers so it's like a
24:20.28 whole conversation it's you can think of
24:21.80 it as like an email thread or if you use
24:24.16 you know communication software like
24:25.60 Microsoft teams it's just like a teams
24:27.36 communication but it's within the
24:29.36 context of that task and I think that's
24:31.80 actually a very understated um uh
24:35.20 capability because you know when you
24:37.48 think about your emails or your chat or
24:40.88 um conversations you're jumping all over
24:42.88 the place you're talking about 10
24:44.36 different things and so later on when
24:46.24 you need to review whether or not you
24:48.48 know or review what you talked about and
24:50.28 so forth It's virtually impossible
24:52.28 because you didn't stay on topic so the
24:54.88 chat within one particular item helps
24:56.88 you have all the everything within one
24:59.48 context and so um when you have again an
25:2.92 important task and you're assigned to a
25:4.76 coworker and you have a conversation
25:6.40 there what's nice about it is when
25:8.00 someone else comes in they can review
25:9.68 that chat and understand exactly what
25:12.12 everything that's been talked about the
25:14.64 notes section is where you can add
25:15.88 additional information around the task
25:17.36 you can also add subtasks if needed and
25:19.80 then finally the resources section is
25:21.48 where you can upload files documents or
25:24.12 emails related to this task and so I'll
25:26.84 walk I'll show you that in just a moment
25:28.36 moment so that's the item details in a
25:31.36 nutshell um essentially it's a place for
25:33.60 you to add additional information around
25:35.24 it again the two most important features
25:37.48 being the due dates and the reminders
25:39.36 and then starting the task if needed so
25:42.20 now let's talk about projects so as I
25:44.08 mention on the left hand side here I
25:45.84 selected my personal priorities but I
25:48.20 can click on here and I can choose
25:50.16 another project for example my team
25:52.12 priorities again if you plan to use part
25:54.64 Matrix in a team environment I highly
25:56.76 recommend that you create a project
25:58.60 called team priorities for that that
26:0.60 purpose when I select this project for
26:2.76 the first time on the right hand side
26:4.96 the project details open and here I can
26:7.80 click on this and change my project name
26:9.76 if needed I can star this project if
26:12.24 needed just like how worked with task
26:14.56 when I start a project it pops to the
26:16.28 top of my list and so for me personally
26:19.12 I have five to 10 star project at any
26:21.08 point in time more than that then it's
26:23.52 like you know the same concept of
26:25.40 important urgent right if everything's
26:27.40 important urgent then nothing is so if I
26:29.48 start all my projects then none of them
26:31.24 are starred in for lack of better words
26:33.40 so I start only the active ones that
26:35.60 helps me jump to them very
26:37.32 easily below that you have team members
26:39.80 and so this is where you can have
26:41.20 different team members within every
26:42.68 single project so if you're a manager
26:45.00 and you have five projects or five
26:46.76 direct reports you might have all five
26:48.44 within here but you might have another
26:50.68 project where you only have one or two
26:53.24 people on Etc so fed Matrix gives you
26:55.16 complete flexibility on whom you want
26:57.72 within every every single project and
26:59.92 then right below that you have the
27:1.40 quadrant names and the quadrant colors
27:3.88 so I showed you the Eisenhower Matrix so
27:6.52 where we say do now do later delegate
27:9.16 and inbox but petric gives you infinite
27:12.20 customization so you can actually change
27:14.48 the name of these quadrants you can
27:15.84 change the color of these quadrants to
27:17.96 meet the needs within your own team
27:20.12 within your own
27:21.92 organization um a couple of thoughts on
27:24.72 the quadrant names what happens is uh we
27:27.68 actually have pre-made templates that
27:29.88 lets you uh use PR Matrix for different
27:32.96 purposes for example instead of actually
27:34.80 using is Matrix you might use PR Matrix
27:37.40 what called the impact effort right and
27:40.24 so what are the things that are low
27:42.28 effort but high impact so that helps you
27:45.20 identify again tasks that are high
27:47.32 priorities by using different dimensions
27:49.68 and so um this infinite customization
27:52.40 makes it possible for you to use patrix
27:54.68 in ways that make sense to
27:56.60 you one thing that's really useful about
27:59.16 per Matrix 2 is the ability to save
28:2.00 anything that you create as a template
28:4.24 so if you have um a project and you
28:7.44 start customizing these different
28:9.72 quadrant names you can go to the top
28:11.80 right here and explore all the ways in
28:13.76 which you can work with these projects
28:15.60 one of them being save project as
28:17.32 templates which allows you to actually
28:19.64 uh recreate The Matrix very very easily
28:22.68 without having to go and retype any of
28:24.92 those things again what's really awesome
28:27.44 too is that that if you have a matrix
28:29.96 with a lot of task in it you can
28:31.76 actually save the whole thing as a
28:33.76 template
28:35.12 so an example might be a client
28:37.92 onboarding process right or an employee
28:40.56 onboarding process and you create the 50
28:42.84 tasks you have to do you save it as a
28:44.76 template then the next time you don't
28:46.56 have to recreate those tasks you just
28:48.00 launch it from the template set the
28:49.68 start dates and then all the due dates
28:51.40 will be propagated forward for you
28:52.84 automatically very very powerful way to
28:55.56 save you time and
28:57.04 effort so that's how a project can be
28:59.80 customized Now to create a project is
29:1.80 pretty simple you click on Project here
29:3.96 choose create project and then as I
29:6.76 mentioned um you can always just do a
29:9.16 blank project which is the basic
29:10.80 Eisenhower Matrix but once you go here
29:13.48 you can actually change the template
29:15.08 type to something else and so we have a
29:16.72 couple of templates here that you can
29:18.00 choose from out of the box at the same
29:21.04 time if you go back here you can click
29:23.20 on what's called public templates and
29:25.04 you can actually choose from a larger
29:26.72 list of templates that we have and then
29:28.60 on our website we actually have hundreds
29:30.72 of templates you can choose from and so
29:33.00 that's an infinite number of things you
29:35.40 can do within the four quadrant uh
29:37.84 approach itself and then as I mentioned
29:40.24 how you if you save your own templates
29:42.04 you can click on my templates and then
29:43.64 choose a template that's created within
29:45.72 your own organization so over time as
29:48.68 you use prod Matrix more and more it you
29:51.68 can adapt it to work the way you want it
29:53.80 to work and then at the very last uh the
29:57.32 least but not last class we have to
29:58.76 create with AI option where essentially
30:1.48 what happens is instead of creating a
30:3.08 blank Matrix from to start with you
30:5.56 simply type in your goal example I want
30:8.44 to be promoted this year or uh example
30:11.64 um I want to get a raise uh or I want to
30:14.72 improve our process you type in that
30:17.20 goal here you click next and prod Matrix
30:19.36 will generate a series of tasks for you
30:21.72 based on those goals so after this call
30:24.72 definitely try to explore this if you
30:26.88 think that would be helpful as a way for
30:28.72 you to actually get started with PR
30:30.44 Matrix much more
30:32.32 readily okay now let's go back to pry
30:35.72 Matrix here um as I mentioned you know
30:38.48 typically a good starting point is to
30:40.76 create a project for your personal
30:42.40 priorities because at the end of the day
30:44.76 if you can be successful with PR Matrix
30:46.88 everything else will fall into place
30:48.48 right um I wouldn't recommend that you
30:50.32 know when you start P Matrix you go
30:51.80 super ambitious and try to do everything
30:54.40 instead focus on your success and then
30:56.72 your team success and then organization
30:58.52 of success as part of the step-by-step
31:0.52 process and so I generally recommend
31:2.72 creating several projects my personal
31:5.24 priorities my team priorities um I've I
31:8.60 always set a goal project for myself
31:10.72 mostly because it helps me stay align
31:12.88 and so when I go to my goal project for
31:14.88 example I Chang the quadrant name to
31:16.96 long-term goals short-term goals anti-g
31:19.36 goals and catch all just as a way for me
31:21.96 to make sure that I'm always working
31:24.68 towards the big
31:26.92 picture now when I mentioned earlier
31:29.40 around party Matrix sending you due
31:31.16 dates a reminders and so forth all that
31:33.96 happens within the home view so when you
31:36.04 click on the home view it's the place
31:38.08 where you typically start your day in PR
31:39.84 Matrix here in the alert section you get
31:42.88 um information around tasks that are
31:45.24 relevant to you example if you're using
31:48.36 it in a team environment perhaps someone
31:50.68 delegated you a task right that will
31:52.52 show up here in the alerts or a task
31:54.64 that you delegate to a coworker is
31:56.56 completed that will show up here in the
31:58.48 alerts or the due date triggered or the
32:0.96 reminders trigger and so when you start
32:3.56 here you'll see that you know for
32:4.96 example I have 49 alerts here I can see
32:7.76 okay these are the 49 things that
32:9.16 require my attention I can click on each
32:11.24 of them and see the changes for for each
32:13.60 I can also jump to my agenda which is a
32:16.20 timebase version and so if you set due
32:19.08 dates on your task and you go to agenda
32:21.20 it helps you see what's coming up what
32:23.20 are the things that's happening um
32:24.88 tomorrow or later this week and also
32:27.32 what are some of things that happened
32:28.68 yesterday that requires your
32:31.08 attention pry Matrix provides a lot of
32:34.04 visibility across all your projects as
32:36.12 well so when you go to a view like the
32:38.40 agenda or my items here it shows you
32:41.44 tasks across all of your party metrics
32:44.08 so we talked about how party Matrix um
32:46.84 has all these different projects and for
32:48.96 me again personally I have 300 plus
32:51.16 projects I don't actually have to click
32:54.44 through every single project um that's
32:56.60 the the the best part I can actually see
32:59.08 everything that's relevant to me by
33:1.04 going through all the various views
33:2.48 inside Prometric um the most
33:5.04 comprehensive view is What's called the
33:6.52 search view so if you click on the
33:8.20 search view here it shows you everything
33:10.56 across all of your p matrics and then
33:13.04 when you click on filter here you can
33:15.16 actually change all the uh ways in which
33:17.56 you can find the information that you
33:19.08 need now when you first use party Matrix
33:22.52 you won't have to worry about this part
33:24.52 but what I want to show you here is that
33:26.56 as you master part Matrix and then
33:28.52 you're using prot Matrix and have
33:30.32 thousands of items or hundreds of items
33:32.48 PR Matrix gives you unprecedented
33:34.32 visibility on everything that you need
33:35.96 and so you don't have to worry about
33:37.16 that and then as you mark task is done
33:39.72 um you can actually go here and find
33:41.52 reports on what are the things you
33:43.76 finished last quarter or last year or
33:46.56 what are the things you assigned to
33:47.92 various folks Etc so our ability to take
33:51.32 all that data and helps you make sense
33:52.80 of it is is actually um a very important
33:56.20 feature okay so now um I do want just to
33:59.80 quickly highlight that you know if
34:1.48 you're exploring P Matrix there's a lot
34:3.68 of capabilities here on the left-and
34:5.64 side that I won't be um talking about
34:8.48 but you know if you're use a p Matrix
34:10.04 you'll you'll see them in the future
34:12.52 such as Gant charts and calendars
34:15.44 Etc okay so now I'm going to go ahead
34:18.48 and switch gear a little bit and talk
34:19.96 about email management so a lot of
34:22.00 customers come to party Matrix because
34:23.68 they struggle with email prioritization
34:26.60 um prior party Matrix has a very very
34:28.76 powerful integration with uh Microsoft
34:31.92 Outlook that helps you turn any email
34:34.04 into a task so for example let's say I
34:36.84 have an email here so the first thing
34:38.36 you want to
34:39.44 do um let's say you have an email here
34:43.04 uh that you have open if you click on
34:44.96 apps you can actually go and click at
34:47.44 apps and search for party Matrix turn
34:50.44 emails into task which is our Outlook
34:52.96 Integrations when you have this
34:54.72 installed and you click on this icon
34:56.96 here you're able to take any email and
34:59.48 choose prioritized
35:2.72 email now if you're like me and you get
35:5.40 a lot of emails every single day one of
35:7.64 the things that we'd struggle with or
35:9.08 I'd struggle with is what do I do when
35:12.24 it's an important email and I need to
35:13.92 answer it right well the most obvious is
35:16.08 you just start it um but then afterwards
35:19.12 what happens if you have not five start
35:21.88 emails but 50 start emails or 100 start
35:24.68 emails then where do you start then and
35:26.92 so not only that it's very difficult to
35:29.20 actually um remember a starred email
35:32.16 from a while ago and so I you know I I'm
35:35.32 guilty as as charge which is I have a
35:37.92 lot of emails that are starred um as
35:41.12 well but the problem is I can't find the
35:43.76 ones that I really need to answer so the
35:46.00 way it works in perm Matrix is when I
35:47.56 choose to prioritize an email it gives
35:49.88 me the option to capture the email but I
35:52.80 can put it within the appropriate
35:55.64 Matrix so if I got an email from a
35:58.84 certain customer maybe I want to
36:1.04 prioritize in one project and I have
36:3.32 emails from um someone internal I can
36:6.60 actually prioritize it in another
36:9.00 project and so forth and not only that I
36:11.32 can choose what quadrant it goes in and
36:13.20 so now instead of actually just flagging
36:15.68 that email I'm organizing into specific
36:18.80 projects specific quadrants in fact I
36:21.16 can even assign this email to another
36:23.40 person so that's very very useful if you
36:26.64 have um an extra Journal email and now
36:28.68 you need to assign to the coworker and
36:30.84 then you set a due date again the due
36:32.80 date being the most powerful thing to
36:36.00 ensure that people know this is
36:37.80 important but it's also urgent and then
36:39.72 ensuring that they get notifications
36:41.68 when that task is due and all you have
36:43.72 to do is Click capture email and when
36:45.96 you do what happens is that it creates
36:48.32 the task the item details opens it looks
36:51.12 exactly like the item details inside per
36:53.08 Matrix I can modify this as needed I can
36:55.56 add notes um and then if you click in
36:57.72 the resources section that email will be
37:0.24 uploaded to here and now your coworker
37:3.12 can open the email directly from PR
37:6.60 Matrix uh one of the things I want to
37:8.48 mention to is one of the things that
37:10.20 makes PR Matrix for Outlook unique is
37:12.36 the ability for you to attach emails to
37:14.40 an existing task um I'm not aware of any
37:17.00 other Outlook integration out there that
37:18.44 does this but let's just say I get an
37:20.28 email but what I want to do instead is
37:22.24 actually integrate it and attach it to
37:24.20 an existing task instead of clicking
37:26.12 prioritize email I open P Matrix and now
37:29.60 um if a customer is following with
37:31.08 something I can actually search for my
37:33.08 item in P Matrix here and then hover
37:35.60 over that item and click attach now I
37:37.92 can attach multiple emails documents PDF
37:40.48 presentation links and all that within
37:43.48 one single task giving me one central
37:46.00 place to stay extremely organized and
37:48.60 and effective and making sure that you
37:50.44 know I'm not losing track of all of
37:52.20 these emails that all fit together in
37:54.24 one single
37:55.76 context um the one thing I do want to
37:58.36 mention with patrix is that it is
38:0.96 infinitely linkable so what that means
38:2.76 is you can actually link all these tasks
38:4.48 together and if you need to build Gant
38:6.12 charts and so forth we actually let you
38:7.80 do dependencies and related items Etc
38:11.52 all within the resources
38:13.36 section so that's how email
38:15.36 prioritization works um and I have a
38:17.36 webinar on email uh prioritization and
38:20.84 you can actually do a lot more with prod
38:23.32 Matrix including forwarding prod Matrix
38:25.64 into your part I'm sorry forwarding your
38:28.60 emails into your prometrix account um
38:31.16 that's something that I do all the time
38:32.96 which is uh for example what I can do is
38:35.32 I can go to my inbox here I can copy my
38:37.96 secret inbox address and save as a
38:40.00 contact and when I'm on the go and I'm
38:42.48 on my phone and I get an important email
38:44.68 I just forward that email into PR Matrix
38:47.80 and then I in the body of the email I
38:49.80 just say do tomorrow and then remind me
38:52.12 in a week or something like that and now
38:54.08 I'm able to actually set a reminder on
38:56.76 emails that I get from anywhere um
38:59.40 directly from my phone even when I'm
39:2.20 away from the
39:3.52 computer and then now I'm going to
39:5.12 switch GE again and let's switch over to
39:7.32 Microsoft teams as I mentioned you do
39:9.84 not have to use party Matrix within
39:11.92 Microsoft teams but if you do use
39:13.84 Microsoft teams it's part Matrix is very
39:15.96 powerful and so I'll show you real quick
39:17.68 on how to get set up there so if you go
39:20.32 to the App Store you search for p Matrix
39:22.68 afterwards you can actually save P
39:24.16 Matrix here pin it on the left hand side
39:27.40 when you click on promatrix inside teams
39:29.72 you see the exact same view as the web
39:31.68 app right you have your projects you
39:33.48 have your uh home view you have your um
39:35.88 quadrants Etc but there's a couple
39:38.16 features inside teams that's very unique
39:40.36 with prod Matrix so if you go to the
39:42.24 chat here one thing you can do is um
39:45.64 install What's called the one-on-one
39:47.48 view so if you click on this plus you
39:50.28 choose prot Matrix and you add the
39:52.32 one-on-one view what I mentioned earlier
39:55.48 around people Centric collaboration is
39:57.92 an ability for you to understand what
39:59.64 you need to work on or what you're
40:1.64 working on together with a colleague so
40:3.88 by going to the one-on-one view what
40:6.16 happens is that I can install the
40:7.64 one-on-one view for every single one of
40:9.40 my co-workers and then select the
40:11.48 coworker and now I can see all the tasks
40:14.00 I have in common with my co-workers
40:15.92 across my entire party Matrix it is such
40:19.24 a powerful way to have your one-on-one
40:21.12 meetings um so again if you're managing
40:23.60 a team you can go and and go to this
40:26.52 particular View in build to see you know
40:29.16 what each person is working on uh what's
40:32.16 overdue what they last modified what's
40:34.72 their priorities and then not only that
40:36.72 when you have a meeting with them you
40:38.36 can actually click add share task and
40:40.48 create task directly from Microsoft
40:42.68 teams without ever having to walk into
40:45.40 or open up your prod Matrix
40:47.68 application um it's something that I
40:50.04 think is one of the most um underrated
40:52.28 features in prod Matrix and not
40:53.80 everyone's explores and finds it so if
40:56.40 you do use teams and you do want to use
40:58.84 protom Matrix in a collaborative
41:0.68 environment I think it's a very neat way
41:2.92 to ensure that you're able to delegate
41:5.88 tasks very very
41:7.80 effectively okay with that I'm going to
41:10.28 go ahead and jump back to um my prod
41:13.08 Matrix here and I want to start wrapping
41:16.04 things up and be able to go and um and
41:20.08 give you some guidance on how to best
41:21.96 use PR Matrix um I do want to mention
41:25.36 that you know we do have res sources on
41:27.84 our website for example a common
41:30.24 question I get from customer is what are
41:32.00 all the different commands and so if you
41:33.80 search for commands party mrix um you'll
41:36.36 be able to land to this page and you can
41:37.80 see what are the type of commands you
41:39.04 can type into the the chat system we
41:41.68 also have prod Matrix for every single
41:44.64 um platform and so if you go to the
41:46.76 download page here you can install PR
41:48.84 Matrix on the desktop app uh which I
41:51.04 recommend if you know you're on Windows
41:54.08 um in particular because sometimes just
41:56.44 having prri be present be be able to
41:59.16 open it very easily makes it easy to
42:1.28 access your
42:2.80 priorities we also have Chrome and Edge
42:5.20 extension that lets you convert any web
42:7.28 page into a protom matrix action items
42:10.12 with that I'm going to jump back to my
42:11.48 presentation
42:16.36 here so now it's on you um sign up for
42:19.76 patrix and use our app and teams and
42:21.48 Outlook if that's applicable um again I
42:24.36 would create at least three projects
42:25.92 your personal priorities your share team
42:28.00 priorities and your key initiatives um
42:30.32 invite appropriate team members and
42:32.04 Pitch to them on why it's important to
42:33.40 focus on high impact tasks the reason we
42:35.68 do these webinars is because it helps
42:38.60 everyone understand the basics of PR
42:40.36 Matrix without having to go too deep
42:42.36 into the weed so hopefully you feel the
42:44.72 same way um after having watched this
42:47.04 webinar and then fourthly create items
42:49.76 in part Matrix with due dates um again I
42:52.64 think that's the most powerful Fe
42:54.32 feature ensuring that you know exactly
42:57.32 to work on something and then set those
42:59.12 reminders and then lastly ruthlessly
43:2.28 prioritize um I think to be 100% honest
43:6.72 success from prioritization is not about
43:9.20 the software right you could be using
43:10.92 anything you could be using pieces of
43:12.76 papers or sticky notes or whatever and
43:14.88 you'll achieve similar success all we do
43:17.32 with patrix as a software is to make
43:19.28 this easier and then we able to track
43:21.92 the history of all these changes for you
43:24.28 and then we integrate with everything
43:25.84 that you already Ed that's the magic of
43:27.84 PR Matrix but other than that it's on
43:30.40 you and on your co-workers um to think
43:33.44 about how you prioritize your task and
43:35.32 ensure that you're actually working on
43:36.80 the right
43:37.88 things a couple of advice um if you're
43:40.68 very new to promatrix use it to track
43:43.52 high impact tasks you don't want to go
43:45.12 down too far into the weeds you don't
43:47.04 want to spend you know your time
43:49.12 creating Prometric tasks that's going to
43:50.96 take you five minutes to do might as
43:52.52 well just get it done but if you want to
43:54.80 think about uh what are the things you
43:56.64 should be working on versus the things
43:58.12 you shouldn't be working on or things
44:0.08 that can actually be prioritized that's
44:2.24 where you should focus your effort in
44:4.08 using our
44:5.72 system I always think of prometrix as a
44:8.52 communication tool um again you know

45:59.52 emails are never lost then again party
