51.04s started so um today's goals are pretty
55.40s simple one help you understand how to
58.44s customize party Matrix templates help
1:1.00 you understand how to save use and share
1:2.88 templates how to build repeated
1:4.68 workflows and then how to Import and
1:6.68 Export CSV and then lastly how to use
1:9.04 the vast uh resources of templates that
1:11.40 we provide for
1:12.68 free now as you can tell this is not an
1:15.48 introduction to pry Matrix so if you're
1:17.36 interested in that definitely check out
1:18.76 some of our other webinars where I Do
1:20.72 cover the basics of pry Matrix and how
1:22.88 to use it and how to get the most out of
1:24.88 it and then also we have other webinars
1:26.88 on email management and how to use that
1:29.36 today we're focusing on templates and so
1:31.72 I'm going to make the assumption that
1:33.08 you have basic understanding of petrics
1:35.32 already now what you're really looking
1:37.16 at is how to save time and effort in the
1:39.60 long
1:40.52 run so um I'm going to go and explain
1:45.80 what me continue here so what P Matrix
1:48.96 is it's a comprehensive email priority
1:50.80 and project management software to help
1:52.72 teams manage emails conduct efficient
1:54.40 meetings and get real-time status on
1:56.24 critical projects and priorities at the
1:58.40 end of the day Patric is a priority

2:2.44 communication software so what that

3:43.52 fundamental um Theory or rather the
3:46.72 fundamental behind PR Matrix itself so
3:49.08 the reason the software is called a mat
3:50.88 the pr Matrix is because we're more than
3:53.20 a to-do list that's sort of the point so
3:55.52 there's a famous quote attributed to
3:57.40 former president at Eisenhower that what
3:59.44 is the important is seldom urgent and
4:0.80 what is urgent is seldom important so
4:2.64 what that means is that if we were to
4:5.20 take everything we have to do it instead
4:7.68 of putting in a list instead we actually
4:9.60 organize it into these 2 by two Matrix
4:12.12 the things that are important and Urgent
4:13.68 and the do now the things that are
4:15.20 important and not urgent is in the plan
4:16.60 quadrant and things that are not
4:18.32 important you can delegate to others and
4:20.48 so the whole idea of party Matrix is to
4:22.92 help you visualize that to-do list of
4:25.04 yours instead of having one long list
4:27.00 you break it up into these different
4:28.32 buckets and these different dimensions
4:29.76 and you can look at it and see okay this
4:31.48 is what I have to work on this is what I
4:33.40 need to do so that's the whole idea
4:35.80 behind all of this so whenever you look
4:37.68 at pry Matrix and whenever you look at
4:39.08 our templates our projects it all fits
4:41.64 within this four quadrant
4:44.20 framework I want to let you know that
4:46.20 the webinars um are recorded and they'll
4:48.60 be posted on the website here and that's
4:50.20 where we also have other webinars uh so
4:52.64 if you have any questions definitely um

4:59.60 show you how to use
5:2.68 templates okay so here I have my party
5:5.52 Matrix open and this is on the web app
5:8.12 you can get to the web app by going to
5:9.40 affluence.com click on web app or you
5:11.32 can go to party matrix.com if you use
5:13.92 Microsoft teams for example party Matrix
5:16.12 would be embedded on the left hand side
5:17.92 you just click an icon in teams and it
5:19.52 opens it but here again with the web app
5:22.60 I'm going to go ahead and select a
5:24.12 project and so for example let's say
5:26.40 this is my personal priority so if
5:28.00 you're already using party Matrix you
5:29.80 know that you can create a lot of
5:31.00 different project on the leftand side
5:32.60 here one of the things I always
5:34.20 recommend is to you know create a couple
5:36.00 of projects around personal priorities
5:37.52 team priorities initiatives and so forth
5:40.40 but where templates kick in is when you
5:43.20 have repeated processes let me give you
5:45.84 an example let's just say if you're a
5:48.16 company that works with external clients
5:50.00 so go ahead we're going to go ahead and
5:51.32 do that I'm going to go choose all my
5:53.12 project I'm going to add a brand new
5:54.64 project here okay I'm going to choose a
5:57.32 blank project and I'm going to say um
6:0.44 client
6:4.52 onboarding project okay I'm going ahead
6:7.00 and create that project here I'm goinge
6:8.80 choose a color scheme and I'll click add
6:11.56 project so what I've just done is I've
6:13.60 just created a project for this
6:16.52 particular client onboarding process but
6:19.08 here's the thing what if every time that
6:22.48 I onboard a client I go through the same
6:25.24 task so there's no reason for me to ever
6:28.08 have to repeat that same process process
6:29.88 again so let me let's walk through the
6:31.80 actual scenario on how to actually
6:34.44 onboard a a client so let's just say you
6:36.84 have several task that we're going to
6:38.08 create which is um
6:41.32 finalize
6:43.04 proposal doe in two weeks we're going to
6:46.60 go ahead and say
6:49.12 um um bill client due in one
6:55.44 month okay um and I'm going to say
6:59.04 prepare
7:0.56 documentation due in uh 3 weeks okay so
7:6.00 now I've just created multiple task
7:7.88 inside this particular project but
7:9.80 here's the thing earlier I mentioned how
7:11.92 we us do now do later delegate and
7:13.72 postpone but maybe some of these
7:15.72 quadrant names do not make sense within
7:18.16 the context of the client onboarding so
7:19.92 why don't we customize that so what I'm
7:21.68 going to do is in this project that I've
7:23.36 selected at the very top here I'm going
7:24.80 to click on edit project now instead of
7:28.24 uh delegate I'm going to say uh
7:30.80 resources and files okay so what I've
7:34.12 just done is I'm going to change the the
7:36.88 project the Project's uh quadrant names
7:39.84 here to better reflect the nature of the
7:42.44 project itself so my recommendation is
7:45.20 that when you use P Matrix and you're
7:47.00 using the different matrices for
7:48.56 different purposes think a little bit
7:50.52 about the quadrant names and make sure
7:52.52 that the quadr name makes sense and
7:54.16 reflect whatever scenario that you have
7:56.60 so then when I have a client onb
7:58.16 boarding project for example
7:59.84 maybe resources and files is where I add
8:2.40 documents or information around the
8:5.48 customers themselves right so um
8:7.68 whenever someone else joins this project
8:9.60 they can look at this and have one
8:11.12 central place understand everything they
8:12.84 need to do okay so now I've created a
8:15.12 project and I've created some task with
8:17.80 due dates so if this was for a client
8:21.08 and the that's the only client then
8:22.36 that's fine I don't need to do anything
8:23.52 else but what if I want to go and
8:25.36 replicate this process for other clients
8:28.40 so let me show you just to get a sense
8:30.96 of how this looks first you see I have
8:33.44 the quadrants here I can go to the list
8:35.48 View and you can see that I've set these
8:37.28 due dates when I created the task um and
8:39.84 then if I go to the calendar view I see
8:41.76 the the task here due in uh two weeks
8:44.72 doe in 3 weeks four weeks and if I go to
8:46.56 C to the Gant chart view I see them as
8:48.80 well okay so now that I have my projects
8:51.44 let's just say I want to save this as a
8:53.28 template what I'm going to do is I'm
8:54.88 going to go to the top right here and
8:56.40 I'm going to choose save project as
8:58.88 template
9:0.92 and what's going to happen is that party
9:3.24 Matrix will give you the option to save
9:5.68 the entire Matrix as something that you
9:8.16 can replicate whenever you need to so
9:11.00 I'm going to go ahead and um have leave
9:14.12 the template name as is so you have a
9:16.84 couple of options you have the option to
9:18.40 clear all item item dates I don't
9:20.84 recommend that instead you want to leave
9:22.76 it because you saw how I created those
9:24.92 tasks with the due dates do in two weeks
9:26.76 3 weeks four weeks if I leave them when
9:29.68 I launch this project it'll
9:31.12 automatically add those timeline for me
9:32.84 so it's very very useful and then of
9:35.68 course you can actually Mark all items
9:37.48 as unfinished so the whole idea there is
9:40.28 that you might have an an existing
9:41.88 project that you're already working on
9:43.08 and you want to convert that into a
9:44.20 template so then what it'll do is it'll
9:45.88 take all finished items and then convert
9:48.28 them into unfinished item so when you
9:50.08 launch a new project from that template
9:52.24 you get all those items that's
9:53.80 unfinished and actually processed and
9:55.32 work through them and then of course you
9:57.60 have the option to include project
9:59.08 members and templates this is very
10:0.88 useful if you have multiple people that
10:3.32 need to be involved in the onboarding
10:5.96 process so let's just say you need
10:7.68 someone from marketing someone from
10:9.76 customer success Etc right and then when
10:12.24 you create that project initially you
10:13.76 might have three or four people then
10:15.40 when you launch a project from template
10:17.80 all of those people will be added
10:19.08 automatically so I want to pause for a
10:21.00 second because I want you to recognize
10:22.84 how much time-saving this could be
10:24.76 because if you're every time you're
10:26.16 doing a a project and you have to
10:28.16 recreate tasks and then you know invite
10:30.64 team members set due dates that's such a
10:32.92 tedious process the whole idea of party
10:34.44 Matrix is you never have to do that
10:35.88 twice so now I'm going go ahead and
10:37.72 click create template okay so the system
10:40.60 says creating template please wait so
10:42.84 what's going to happen is it's going to
10:44.12 save it as a template so now the
10:46.36 template is created successfully I got
10:48.04 this confirmation message now guess what
10:50.48 let's just say I need to onboard a new
10:52.72 client what I'm going to do is I'm going
10:54.76 to click on Project show all projects
10:57.36 and I'm going to add a project now now
10:59.28 instead of doing a blank project and
11:1.20 having to recreate all those tasks I'm
11:3.24 going to go over to my templates and
11:5.52 check that out that client onboarding
11:8.24 project is right here if I click on this
11:11.12 I can choose a start
11:12.64 date okay so instead you earlier you saw
11:16.12 how I created the task due you know in
11:18.40 two weeks three weeks and four weeks now
11:20.60 what if I'm going to start this client
11:22.36 on January first I'm going to use
11:26.16 templates so now it creates a project
11:29.16 and the tasks are created but if we look
11:31.24 at the calendar you're going to see that
11:33.88 actually the task will start next month
11:36.44 instead um let's see
11:39.04 here the task will start next month
11:41.16 instead so it's due two weeks from the
11:42.96 start date of January 1st three weeks
11:45.16 from the start dat of January 1st and
11:47.04 then whatever it was for a month from
11:49.44 from that date so what happens is that
11:53.92 by doing this um and and by launching it
11:56.48 from wherever start date it is you can
11:58.64 actually
12:0.08 not worry about creating the task and
12:2.16 worrying about tasks not getting done
12:4.12 right because all the dates will
12:5.48 actually propagate forward for you and
12:7.60 so when you create that initial template
12:10.20 make sure you set the due dates
12:11.68 appropriately and and if they are
12:13.64 dependent on each other make sure you
12:15.60 create all of those um uh time stamps so
12:19.76 then you know when you're launching a
12:20.96 new project all the information is there
12:22.96 now if you have multiple team members it
12:24.84 automatically gets added into the party
12:26.44 Matrix calendar which is very very
12:28.48 helpful
12:30.04 okay so that's pretty much how you use a
12:33.36 custom template inside PR Matrix now let
12:35.56 me give you a couple of use cases where
12:37.16 this is helpful again I have the client
12:39.20 onboarding but you might use it for
12:41.08 employee onboarding you might have it
12:43.56 use it for recurring uh monthly task or
12:47.36 recurring quarterly task so for example
12:49.76 let's just say if you're a finance
12:51.44 department and on a monthly basis or on
12:53.88 a quarterly basis you have to close your
12:56.40 books right so you have a bunch of
12:57.96 recurring tasks and you want to make
12:59.20 sure that you get them done by a certain
13:1.20 day a certain time stamp all you have to
13:3.32 do is create one project that says Book
13:6.32 closing and then from there add all the
13:8.44 appropriate task and then the due date
13:10.12 for them save it as a template every
13:11.96 single quarter you simply launch a
13:13.84 project from that template so you can
13:15.96 sort of think about all the different
13:17.48 use cases as long as as long as you have
13:19.60 recurring task as long as you have like
13:22.20 a starting date Etc um I highly
13:25.40 recommend setting due dates always in
13:27.36 everything that you do uh just because
13:29.64 it's so helpful to understand when that
13:33.00 needs to be done because the whole point
13:34.32 of party Matrix is to understand
13:36.12 priorities but also the dimensions of
13:37.92 time and so if you know when something
13:40.04 is due then you're more likely to get it
13:41.60 done okay so now I've shown you how to
13:44.48 create a project from template and then
13:47.08 how to um how to launch it now what if
13:49.88 you want to edit um a template so let me
13:53.04 go show you how that gets done so if you
13:55.64 have you see how by the way I want to
13:56.88 show you on the left hand side here I
13:58.24 created the new project but I gave it
13:59.72 the same name so now of course there's
14:1.52 another project with it so of course
14:2.88 when you launch it um make sure that you
14:5.36 name it in a a way that makes sense but
14:8.92 let's just say you want to edit a
14:10.48 template well all you have to do is you
14:12.52 can launch the template right if you
14:15.08 don't have the template anymore create a
14:16.96 project from template and then make all
14:18.80 the changes as needed so uh this is a
14:22.28 new task due in three months okay I'm
14:25.40 going to go ahead and create that task
14:27.04 right there and now this is a an updated
14:29.60 version of that template then I still go
14:32.40 back to the same view and click on
14:34.20 Project details from up here I'm going
14:36.52 to choose save project as template and
14:38.80 then I can save it and it'll override
14:41.28 the previous template so from a template
14:44.04 standpoint there's a unique template for
14:45.76 every name so as long as you have the
14:47.08 same name and you make changes and you
14:48.92 overwrite it that's how you edit a
14:51.24 template so the corollary to that then
14:53.88 is if you want to make sure that you
14:55.60 have multiple templates for um with
14:58.12 different information in it make sure
14:59.92 that you name it differently right and
15:2.28 add something that's informative in the
15:4.48 template name itself so that others know
15:6.12 about it now let's talk about
15:7.88 permissions real quick so who gets
15:9.64 access of these projects uh these
15:11.72 project templates everyone who's in your
15:14.04 account so what that means is that when
15:17.08 you share that project template it will
15:19.00 be available to your your co-workers and
15:21.04 your team members um who's in your
15:22.92 account the reason that happens is then
15:24.84 you guys can share that resources right
15:26.64 so the whole idea is that part of create
15:29.48 a single place where if you have domain
15:32.32 expertise or if others have domain
15:33.84 expertise when they build these
15:34.92 templates that information is available
15:36.84 to other co-workers now what if you
15:38.96 don't want to share well so there's a
15:41.16 couple ways around that so I'm going to
15:43.28 go ahead and go back to this client
15:44.40 onboarding project now what what if I
15:46.68 want to create a project template but I
15:48.28 don't want to share with others what do
15:49.52 I do instead is that instead of actually
15:52.44 um saving it as a template in part
15:54.40 Matrix I can export it as a CSV so what
15:57.40 that does is it actually saves it as a
15:59.48 local file for you so here I'm going to
16:2.20 go instead of save project as template
16:4.04 I'm going to say export as CSV so I I'm
16:7.00 not going to uh do that because it'll
16:8.72 it'll show on my screen here but um if
16:11.44 you export a CSV you get a CSV file
16:13.76 locally and then from there when you
16:15.88 need to launch a new project you can
16:18.16 import from CSV but let me show you how
16:20.48 that CSV file actually looks so here I'm
16:23.40 going to pull down a CSV file that I
16:26.32 have as a as an example from a project
16:28.36 that I exported as you can see um when
16:31.36 you open the CSV in Excel here there's a
16:34.12 ton of information so the name of the
16:36.52 task so if you have five 10 or 15 tasks
16:39.44 all those tasks will show up here um
16:41.52 there's something called state state
16:43.12 zero means a task is unfinish uh and
16:45.80 then from if you look further there's
16:47.56 descriptions there's creation dates
16:49.76 there's due dates there's start dates um
16:52.24 and then whether the task has a is an
16:54.28 all day task and then the default owners
16:56.96 of that task uh and so when you go and
17:0.48 you create a when you export a project
17:3.80 like this as a CSV you can see that you
17:5.96 have so much information uh that you can
17:8.92 actually add to the system now when you
17:11.40 you can go and you can even edit this
17:13.28 CSV and then afterwards you can actually
17:16.12 um import it back into prod Matrix
17:19.04 whenever you need to so the whole point
17:21.28 is if you want to make sure that no one
17:22.92 else has access to this particular
17:24.44 template that you've created export into
17:26.48 CV CSV is a fantastic way to save it um
17:29.52 but also it's a good way to back up your
17:31.04 data too you know just in case you want
17:33.36 to have some of your party Matrix data
17:35.80 accessible somewhere else that's what
17:37.52 the CSV is for now the um the CSV here
17:41.56 is not comprehensive in capturing all
17:44.64 your data from pry Matrix for example
17:47.60 you know the history of all the item
17:49.28 names and so forth that's not available
17:51.12 in the CSV export it's intended just to
17:54.04 be a way for you to export and import
17:56.60 the matrices as needed so let let me
17:58.60 show you now how to import a CSP so the
18:1.32 way it works is you go to Project again
18:3.60 and then you choose all projects and
18:5.84 then you choose add project and then
18:7.92 instead of actually using my templates a
18:10.32 blank project or anything else you can
18:12.36 click on import CSV and then simply
18:15.24 select the CSV and that's pretty much it
18:18.08 you click open and then Pro Matrix will
18:19.84 import that as a project and then
18:21.80 afterwards you can customize it as
18:23.48 needed the other thing it doesn't do is
18:25.48 it won't do those due date propagation
18:27.52 for you um in order to do that you have
18:30.20 to use our template system but at least
18:32.08 the CSV gives you that flexibility as
18:33.96 needed you can customize that
18:35.80 CSV okay so that's how you can export
18:38.80 and import CSV as templates and P Matrix
18:42.08 now one of the things I want to talk
18:43.44 about is that we actually recognize that
18:46.04 there are actually so many ideas on how
18:48.40 to use pry Matrix and how to customize
18:51.16 the quadrants um in various ways that
18:53.48 may make sense in different scenarios so
18:55.64 what we've done is we've created a
18:58.56 massive library of
19:1.60 template so you saw the do now do later
19:5.00 right that's called the Eisenhower
19:6.08 Matrix now I'm sure you've heard of so
19:8.12 many other 2x two Matrix templates such
19:10.28 as the SWAT analysis which is strength
19:13.12 weakness opportunity and threats that's
19:15.12 a
19:15.96 business um a business strategy uh
19:19.16 approach to analyzing whatever you know
19:22.48 competition or your own companies or
19:24.44 whatever it is there's many use cases
19:26.24 there so you what you can do with part
19:28.48 Matrix is you can actually use party
19:30.24 Matrix to do anything that's a 2X two
19:33.12 Matrix for lack of better words so
19:35.20 effort impact right identify tasks that
19:37.64 are high effort high impact High effort
19:39.80 low impact Etc um so what we've done is
19:43.44 we've created this thing called public
19:44.92 templates so when you create a project
19:47.32 instead of actually choosing blank
19:48.76 project and instead of choosing your own
19:50.48 Pro templates and instead of um you know
19:54.04 trying to brainstorm on on new ways you
19:56.40 can actually go to public templates and
19:58.32 these are some templates that we've
20:0.48 created that you can use right out of
20:2.28 the box so here for example weekly to-do
20:5.12 list template 3060 90day plan for
20:7.48 managers which is something I I like um
20:9.96 what happens is it renames the quadrant
20:12.76 into the things you got to do for 30
20:14.76 days from now 60 days from now 90 days
20:16.48 from now and so on a quarterly basis if
20:18.36 you're a manager you just launch one of
20:20.44 one of these templates and then from
20:22.92 there uh you know you can start planning
20:25.00 out your quarter so very very useful if
20:27.68 you have you want to capture recurring
20:29.40 task all it's really doing is renaming
20:32.52 the quadrants now in some of these
20:34.72 templates we actually create tasks for
20:37.00 you too as a suggestions on how to get
20:39.40 started so that's how you can choose
20:41.08 from one of these public templates and
20:43.00 it's super trivial to get started just
20:45.48 click on them click use templates and
20:47.72 you see how all these tasks will get
20:49.36 created for you here and so um that's
20:53.48 how you use the 3060 90day plan plan
20:55.92 template uh so as you can see when I go
20:58.64 back to this view here I have what maybe
21:1.04 a few dozens templates here now let me
21:3.12 show you that party Matrix has a lot
21:4.80 more so there from here you can choose
21:7.40 to various the categories too but that's
21:9.84 still within this list of templates to
21:12.04 get to more templates um there's a
21:14.44 couple of ways first if you go to our
21:16.24 website affluence.com you can click on
21:19.04 templates at the very top I'll show you
21:21.20 how to get there so here when I go to
21:22.88 aff.com which is our main website at the
21:25.48 very top here there's an option to click
21:27.32 on templates
21:28.80 and when you do it opens this template
21:30.56 Gallery it's the same task it's the same
21:33.00 list that you just saw in cyer Matrix
21:35.52 but if you click on each of these you
21:37.08 can actually read about them and you can
21:38.88 also choose the option to import them
21:41.08 directly into your account so assuming
21:44.08 that you have to be logged in of course
21:46.08 um but also if you want to have access
21:48.32 to thousands of templates um we actually
21:51.24 have them on our website if you go to
21:53.48 affluence.com
21:54.88 productivity category templates which
21:57.00 I'll share here in the list um in the
22:0.32 chat with
22:1.80 everybody so if you go to that website
22:4.96 um here you can actually get access to
22:7.80 our templates and so we actually have
22:10.04 templates around it service management
22:13.40 organizational performance um and so
22:16.00 forth and so the list is massive it's
22:19.16 actually far too much for us to include
22:20.84 within application but that's why we

22:54.12 that you can do from a template
22:56.04 standpoint is you can create with with
22:58.28 AI uh so what happens is we actually
23:1.76 give you the ability to take a goal that
23:4.56 you have so for example let's say you
23:6.16 want to be promoted or let's say you
23:8.04 want to improve operational efficiency
23:10.28 at your department um or let's say you
23:12.96 want to get more fit those are the kind
23:14.88 of potential goals that you may have
23:17.32 when you go to create with AI you can
23:19.16 type in your goal and then click next
23:21.72 and over the course of a few minutes our
23:23.80 system our AI system would generate the
23:26.24 task for you with within a certain
23:29.12 framework um template and then from that
23:32.40 you can actually save that and use it
23:34.36 for yourself whenever you need to so
23:36.60 that's one where I'm not going to show
23:38.24 you in in details because that's
23:39.64 something I would love for you to go and
23:41.12 explore and then give us feedback but as
23:43.20 you can see when I go create with AI you
23:45.48 know we have some examples here just to
23:47.32 give you some ideas on what you can do
23:49.28 with the AI system but you can just
23:51.32 click on one of these or just type in
23:53.16 your goal uh and you can do this a
23:55.56 couple of times under the free account
23:57.44 and then if you have a paid account then
23:58.88 you can use this as many times as you
24:0.60 like so that's the whole goal with the
24:3.08 the AI system which is you know we know
24:6.20 that we can't create a template for
24:8.88 every single possible use case and so
24:11.20 instead we'll let you decide on what it
24:13.28 is that you need and so and the system
24:15.12 will create it for you okay so that's
24:18.16 how you create project and that's how
24:20.04 you create templates now let me make
24:22.40 sure that um I have addressed all of
24:25.48 those capabilities that um I wanteded to

24:49.36 Matrix template and again the the way to
24:51.88 do that is you edit a project you can
24:54.08 edit the quadrant names you can edit the
24:55.64 colors you can edit the task inside the
24:58.12 each Matrix and then save as a template

25:2.64 share with your entire organization or
25:4.72 your entire team or you can save it as a
25:7.04 CSV which is a local template and now
25:10.04 with the CSV you can post it on
25:12.08 SharePoint you can shareed on Drive Etc
25:15.04 and so that's a very very easy way to um
25:18.08 share that information with others uh
25:20.32 you can build a repeated workflows using
25:22.60 pry Matrix and so you saw how I can
25:25.00 actually from a project I have all these
25:26.88 different tasks with the different due
25:28.12 dates and then I just have to save it I
25:29.88 just have to write that information down
25:31.44 once and then save it as a template um
25:34.28 and then you learn how to export and
25:35.96 import CSV files and then you learn how
25:38.24 to leverage the vast amount of resources
25:40.44 that we have um completely free and
25:43.84 that's pretty much it in terms of the
25:45.92 functionality around templates so let me
25:47.60 wrap up here and then uh if there are

26:45.88 actually go and attach emails that from

26:51.28 have one central place to track it all
