23.82s in today's webinar what I want to do is
26.04s I want to give you a very good overview
27.66s of party Matrix and then at the same
29.70s time give you some ideas
31.62s um as a way on how to use protein matrix
33.42s to further your goals and as I mentioned
36.12s this is an introduction to pretty Matrix
38.10s so with that we won't cover everything
40.62s but at the same time hopefully it'll
42.72s give you a very good it'll get you
45.72s excited about what you can do with with
48.42s respect to protein matrix and how it can
50.16s improve your your work
55.20s so let me bring this over here
59.76s uh so the goals again are one help you
1:2.88 understand the basics of party Matrix if
1:4.74 you've used pretty Matrix before either
1:7.02 on the web app or on the
1:9.24 um desktop app we'll be focusing on the
1:12.54 web apps and the teams in my and Outlook
1:14.52 Integrations and then provide you a
1:16.32 framework to get the most out of pretty
1:17.70 Matrix with the least work
1:19.38 um I think that you know the 2080 rule
1:22.56 applies here so hopefully you'll use 20
1:24.84 of the features in pretty Matrix they'll
1:26.82 give you 80 of the value and then
1:29.40 finally help you envision what your work
1:31.50 and life success would look like
1:33.78 um with part of Matrix implemented
1:36.90 one of the things I've done
1:39.18 um is I've talked to
1:41.16 thousands of customers over the past
1:43.38 many years and there's three challenges
1:45.60 that I see all the time uh the three
1:48.18 challenges are one team members always
1:50.40 tend to have trouble understanding
1:51.78 what's priority right now and what's
1:54.00 really interesting is it's this problem
1:55.56 has gotten worse rather than better and
1:57.72 you think that all these communication
1:59.10 tools that we're using is actually
2:0.78 helpful in terms of helping people stay
2:2.94 in line but what I find is that more
2:6.12 so than ever before you have more things
2:8.46 to do than the resources to do them and
2:10.62 because of that every single day we're
2:12.66 actually struggling more and more to
2:14.10 understand where should I focus my time
2:16.08 you know where uh do my team members
2:19.14 think the priorities are for any given
2:21.42 project
2:22.50 and the corollary to that is actually it
2:24.90 becomes harder to keep track on the
2:26.70 status of work across all these areas of
2:29.04 responsibilities as well so not only do
2:31.20 you have trouble understanding what you
2:32.34 need to work on but of the things that
2:34.38 you should really care about what
2:36.66 progress have been made especially if
2:38.76 you have multiple team members and then
2:40.08 when you're in meetings how can you
2:41.64 actually be more effectively and more
2:42.96 efficiently talk about those progress
2:44.46 and then thirdly communication from chat
2:48.00 messages to emails to meeting is
2:49.86 creating a more stressful environment
2:51.36 with too many contexts and so and
2:53.88 context switching as well so what that
2:55.68 means is that you know in order to know
2:57.54 what's what's going on with anything you
3:0.48 have to open up your phone you have to
3:1.74 look at your email you have to look at
3:3.00 some other application you have to go
3:4.50 into your chat messaging software uh and
3:7.08 then you're spending all the time doing
3:9.00 that and actually more time
3:10.50 communicating than actually time
3:11.88 executing
3:16.08 so what is part of Matrix
3:18.24 um part Matrix is a comprehensive email
3:20.04 priority and project management software
3:21.84 to help teams manage emails conduct more
3:24.12 efficient meetings and get real-time
3:25.56 status updates on critical projects and
3:27.96 priorities
3:29.16 so how does party Matrix tackle these
3:30.78 three problems that I mentioned first we
3:33.00 use something called the four quadrant
3:34.32 methodology which I'll go into details
3:36.72 further um to help promote effective
3:38.58 prioritization
3:39.96 and secondly what we do is we understand
3:43.50 that you actually have so much data so

3:47.94 so forth that you're working on so part
3:49.56 of Matrix provide different views that's

3:55.02 um one of the things that I like about
3:57.06 party Matrix is that it's people-centric
4:1.20 um and what I mean by that is when
4:3.78 you're doing something you're doing it
4:5.22 for somebody typically right
4:7.44 um when was the last thing you worked on
4:8.76 some last time you worked on something
4:10.08 that wasn't actually for someone and
4:11.52 what I mean by that is are you working
4:13.02 on something for your manager for your
4:14.88 colleague for a client
4:17.10 um and so if you think about from that
4:18.90 perspective a project is more than just
4:22.80 something that you do and and execute at
4:25.20 any point in time you have to think
4:26.94 about the context of whatever it is that
4:29.28 you're working on and then finally party
4:31.20 Matrix provides Integrations into
4:32.64 systems you already use in particular
4:34.68 Microsoft teams and outlook for very
4:37.08 very effective email and task
4:38.94 prioritization
4:40.68 so what makes a part of Matrix
4:42.54 difference first it's the only Microsoft
4:44.76 365 security certified solution in both
4:47.70 the web app the teams app as well as the
4:50.88 Outlook application and so that makes
4:52.86 our software a very unique Choice uh and
4:55.68 allow you to go and actually manage all
4:58.20 of those components essentially the
4:59.52 projects and the emails as well as
5:1.20 meeting communication and we're actually
5:3.30 leveraging AI more and more to help you
5:5.40 achieve your goals it's something I'm
5:7.38 really excited about just because you
5:9.00 know everything has changed so much in
5:10.26 the past six months or so in terms of
5:12.30 how much more impact we can do for you
5:15.12 and we provide that people-centric
5:17.40 collaboration which I think is really
5:19.26 missing in a lot of software you don't
5:21.60 want to be switching contacts just
5:23.34 between projects if you're in a meeting
5:25.02 with somebody you want to know what it
5:26.82 is you have to do for them
5:28.44 and finally for the Matrix is available
5:30.06 as a SAS solution which is what I'll be
5:31.74 showing today as well as a HIPAA HIPAA
5:34.68 compliance for healthcare Life Sciences
5:36.30 as well as an Azure government Cloud for
5:38.16 state and local governments as well as

5:50.58 so let's talk about the philosophy
5:52.50 behind product Matrix this is
5:55.20 there's a quote attributed to former
5:57.48 President Eisenhower what is important
5:59.40 is seldom urgent and what is urgent and
6:1.08 sound on the point what I like about
6:3.42 this is it talks about how uh and and
6:8.52 it's time tested in some ways which is
6:10.26 when you woke up this morning and you
6:13.26 probably opened your email and you look
6:15.12 at all the emails that's coming in all
6:17.34 of those emails are actually
6:19.50 um clamoring for your attention right
6:21.24 and so they're they require you to look
6:23.40 at them and that's what the urgency
6:25.08 aspect of it but what's interesting is
6:27.00 how many of those emails are actually
6:28.26 important and I would argue that very
6:30.72 very very few
6:32.64 um in fact a lot of the important things
6:34.32 you already know you're aware of what
6:36.36 they are and they're sitting in the back
6:38.04 burner and you actually don't have the
6:39.72 time to get to them because you're
6:40.80 spending all your time fighting these
6:43.92 urgency
6:44.76 um that's that's urgent things that's
6:46.26 coming up all the time so
6:49.74 one of the things I'd like to think
6:52.02 about is imagine if you took out a piece
6:55.44 of paper and you start writing down
6:57.42 everything that you have to do
6:58.68 everything that you have to do and in
7:0.42 fact I I did this exercise myself on for
7:3.12 my own personal things not too long ago
7:6.06 um and so imagine you write that down
7:8.10 into onto a piece of paper
7:10.56 so you might have five things you might
7:12.24 have ten things
7:13.44 um but my question here is what happens
7:15.66 if you have to add more things what do
7:17.40 you do do you add at the top what do you
7:18.72 add at the bottom and then of those
7:20.70 things if you're going to choose one to
7:22.32 work on right now which one do you
7:24.18 choose the top the bottom or somewhere
7:26.46 in between
7:27.48 and what's really interesting is that we
7:31.08 are so list driven as a society because
7:33.66 that's the easiest thing to do so
7:35.82 imagine instead that you take these
7:38.64 maybe let's say we'll call them 10
7:41.04 things that you have and instead I'm
7:43.02 going to ask you to look at them from
7:45.12 the perspective of importance and
7:47.40 urgency
7:48.42 what things which of those things are
7:51.00 actually important and Urgent which of
7:52.98 those things are important but not
7:54.24 urgent and which of those things are
7:55.62 actually not important
7:57.30 um but urgent and so what what that
7:58.86 means is what are the things that's
8:0.36 actually
8:1.32 um
8:1.98 if you take all of those things there
8:3.78 and you split it into those those three
8:5.46 categories uh and then what's left right
8:8.82 so
8:12.30 what's really fascinating is how hard
8:15.18 this exercise is uh and you know that's
8:19.14 the challenge that I've seen over and
8:20.94 over again which is it's so easy to make
8:23.10 the list it is very very difficult to go
8:25.50 and prioritize that list so now if you
8:28.44 were to actually take all those those
8:30.72 tasks and you did that exercise you
8:32.94 would put it into this Matrix instead of
8:35.16 a list so then in the top left you have
8:37.80 the do now the do now are the things
8:39.36 that are important and Urgent and then
8:40.92 the things you should plan for are
8:42.30 they're important but not urgent and
8:44.46 then
8:45.12 maybe you can delegate the things that
8:47.40 are not urgent but not important and and
8:50.10 the way you can think about delegation
8:51.96 is not necessarily because you have a
8:53.52 direct report and if you do maybe there
8:55.62 is somebody that could do it better and
8:57.78 that's the point which is is there
8:59.58 somebody else or some other resource
9:1.32 that's better at executing some of those
9:3.12 tasks than you
9:4.92 um and you know you can think of like
9:6.42 for example a restaurant is something
9:9.48 that you're delegating to right you're
9:11.40 delegating to the restaurant
9:13.56 um
9:14.46 somebody who will cook and clean up for
9:16.86 you and so in some way it's you're
9:20.10 hungry and so therefore you go and and
9:21.90 eat
9:22.86 um and that's that's part of the way you
9:24.36 can think about delegation which is
9:25.86 maybe there's just somebody out there
9:27.24 that will do a better job or a fast job
9:29.82 a more efficient job or at least get it
9:31.32 out of your mind
9:32.88 so now that task list of yours should
9:35.52 fit into this Matrix and what's really
9:36.96 interesting is this imagine if
9:38.64 everything that you have is in the top
9:39.96 left oh that entire list that you wrote
9:41.76 down well if everything is important and
9:43.98 everything is urgent then nothing is
9:45.42 because you're back to square one you
9:47.40 have no idea what to work on
9:49.20 um and so when I look at this exercise
9:51.72 one of the things that you have to
9:53.04 constrain yourself is that no more than
9:55.32 a quarter of the things that you have
9:56.58 written down can be in the top left and
9:58.80 then a quarter of the things that you've
10:0.00 written down is in the top right and now
10:2.04 suddenly you've forced yourself to
10:4.20 prioritize the next part of this
10:6.00 exercise is take this piece of paper
10:7.50 that you've just created and walk around
10:9.48 the office and compare notes and what I
10:11.76 mean by that is you go to your manager
10:13.56 and say hey by the way these are my
10:14.76 priorities all these things that we've
10:16.38 been talking about what I should be
10:17.46 working on this is how I look at it
10:19.26 these are the things I'm going to focus
10:20.46 on these are the things I'm going to
10:21.60 plan for next uh do you agree
10:24.12 and find out if you and your manager
10:25.98 agree on all of those things and if you
10:27.60 do then that's fantastic
10:29.52 um
10:30.18 but if you don't then how do you
10:32.52 identify what are the things you should
10:34.32 reprioritize what are the things you
10:35.82 should drop in order to focus on what
10:38.10 truly matters and so you can imagine how
10:42.72 um how pretty Matrix forces you to do
10:45.96 this and the hardest part about this is
10:48.96 that as you do that initial exercise is
10:52.50 um is choosing what goes where but
10:55.44 that's how we create alignment and that
10:58.56 prioritization process is very very
11:0.84 crucial so start doing that today even
11:2.88 if you've never used protein matrix as a
11:4.56 software just doing that on a daily
11:6.66 basis would help you truly understand
11:8.46 what it is that you need to work on and
11:10.74 then the second thing is that success
11:12.36 from protometrics isn't about finding
11:14.28 what everyone agrees on if every single
11:16.92 person in the office your direct report
11:18.60 your manager all your colleagues agree
11:21.00 all the time on all the priorities that
11:23.04 you have you don't need protein matrix
11:24.66 in fact you don't need any software you
11:26.52 can just focus on executing but what's
11:28.68 interesting is that if
11:31.14 you start finding discrepancy on and
11:34.08 discover the disagreements on what a
11:35.88 priority should be that's when you know
11:37.68 you use protein tricks correctly and
11:39.30 that's when you know we've added value
11:42.12 so with that you can think of per Matrix
11:44.64 as a digital version of what I've just
11:46.80 talked about protein matrix software
11:48.18 rather is the digital version of that
11:50.22 that what what I've just talked about
11:52.50 um and then the um uh second thing is we
11:55.80 go and we expand that further in order
11:57.54 to bring everything together

12:6.66 that I'm going to go ahead and jump into
12:8.88 a presentation of the product itself
12:12.74 so here uh this is I'm going to open up
12:16.08 pretty Matrix here in the web app so
12:17.70 when you look at pretty Matrix here uh
12:19.74 what do you see you see the exact same
12:21.42 four quadrants that I mentioned to you
12:23.10 so on the left hand side are projects
12:25.26 you can think of projects as areas of
12:28.32 responsibilities right so for example
12:30.12 these are an initiative that I'm working
12:32.22 on or this is a goal that I have and so
12:35.64 for example I have a project called my
12:37.26 team priorities that I have open here
12:38.88 and you can see within this I have the
12:40.98 four quadrants the do now the due date
12:43.14 later on the delegate and the inbox
12:46.02 and so when I use part of Matrix I have
12:48.48 to put tasks into these four quadrants I
12:51.24 can't just go and and add it to a list
12:54.24 um and it's very very difficult but if
12:56.76 you do that exercise from the beginning
12:58.08 then you're focusing your time on the
12:59.82 right thing so let's just imagine if I
13:1.98 have a task that I want to do which is
13:4.98 um let's say follow up with webinar
13:7.70 registrants uh and talk about their
13:11.82 goals okay so now that's an example of a
13:14.82 task something that I have to do but one
13:17.28 thing that I can do here too is I can
13:18.96 also say do in one week and so with
13:21.84 party Matrix what's happening is that
13:23.88 it's creating a task but we use natural
13:26.04 language to interpret that task for you
13:28.02 so because I said do in one week um it
13:30.48 actually sets a due date for me
13:31.74 automatically and so that saves me time
13:33.84 from actually having to go and follow up
13:36.24 afterwards and set a due date and choose
13:38.16 a day et cetera so I could have said do
13:40.50 next Thursday at 2 pm Etc
13:43.20 so that actually will save you a step in
13:45.30 so if you're using part of Interest I
13:47.28 definitely recommend
13:48.78 um writing that due date immediately at
13:51.00 the start in the task itself because
13:53.28 that will ensure that it's on your
13:56.52 calendar uh so that you know to tackle
13:58.68 it
13:59.70 so after I create a task on the right
14:1.68 hand side is what I call Item details
14:3.72 and item details is all about adding
14:5.94 context to this task so for example it
14:8.52 shows me what project it's in because I
14:10.38 may have multiple projects uh and so
14:13.44 with each project you can think of it as
14:15.36 a way to categorize these tasks so
14:16.92 they're in the right context and then I
14:19.44 can start the task if I start a task it
14:21.24 means that it's something that's very
14:22.80 important and then also down here I have
14:25.44 ownership so there's tip there's always
14:28.14 one owner there's one owner for any any
14:30.84 task and so when you create a task you
14:34.20 can assign it to a teammate a colleague
14:35.88 or a default to assign it to you
14:38.94 now if you want to follow a task that's
14:41.04 what you you can add followers and so
14:43.08 followers are people who are actually
14:44.88 interested in under in tracking the
14:47.70 progress of the task but they themselves
14:49.44 are not responsible for executing it and
14:51.72 you only want one owner because
14:53.64 um if that's not clear that's not set
14:55.56 out from the very beginning there will
14:57.66 not be Clarity on who's supposed to do
14:59.40 what and then next to that you have
15:1.08 progress uh which is zero to 100 effort
15:4.26 reminder and reminder is different from
15:6.72 dates for for one particular reason so
15:8.70 let me show you imagine you're working
15:10.32 on something that's very very important
15:12.12 and it's due in three weeks if you wait
15:14.22 for three weeks to come by and then you
15:16.08 work on it maybe it's going to be far
15:18.36 too late right imagine if it actually
15:20.04 takes um several days of work to
15:21.90 actually get done so what I like to do
15:24.00 is I type down here I say remind me
15:27.54 um I also say remind me weekly I could
15:29.22 have typed Remind me daily or remind me
15:31.14 in two days Etc so now what I've just
15:33.42 done is I have a task that actually is
15:35.64 due in one week but it's actually also
15:37.56 going to remind me weekly and if I don't
15:39.60 get to it the system will go and ensure
15:42.12 that that I actually work on it and as
15:45.00 you can see uh when I actually set these
15:47.10 reminders and I type in what's called a
15:49.08 command here the text turned green that
15:51.18 means our system is interpreting it in
15:53.46 order to take that and and help you
15:56.28 prioritize help you set reminders and so
15:58.68 forth
15:59.66 so that's right here is what's called
16:2.16 item details and then be if you scroll
16:4.38 down a little bit more you have the note
16:5.82 section and in the notes section you can
16:7.98 add subtasks Etc and then finally
16:9.90 resources which is Doc documentations
16:12.48 presentations emails anything that
16:15.36 actually is relevant um to this task and
16:17.52 you can actually even link tasks
16:18.84 together and from that you can build out
16:20.70 Gantt charts and dependencies
16:23.16 so that is what item details is all
16:25.86 about and one thing that's really
16:27.48 interesting about this is that
16:29.70 um you don't have to use the vast
16:32.04 majority of those capabilities in fact
16:33.90 again going back to how do you get the
16:35.64 most out of protomatrix and with the
16:37.80 least amount of work which is one make
16:40.08 sure that you actually put these things
16:41.52 in the right quadrants and then
16:43.20 afterwards make sure that you set a due
16:44.58 date and if you do that you actually
16:46.62 will already take all these things
16:48.78 that's in your mind
16:50.34 um all these tasks that you're thinking
16:52.14 about concern about Etc and you put it
16:54.30 down into a very visual way for you to
16:56.64 see and this is so much more powerful
16:58.86 than the list because
17:0.90 again it's all about communication right
17:3.06 when you have two people with two lists
17:5.64 and you come together and you look at it
17:7.56 you know you won't know
17:10.32 the how how they think about it in terms
17:13.02 of importance and so I highly highly uh
17:16.50 emphasize that you've got to make sure
17:18.66 that these things actually go into the
17:20.52 appropriate quadrants and so because of
17:22.56 that let's just say because I added this
17:24.24 task here in the inbox I can actually
17:25.92 drag this over and now it's in quadrant
17:28.38 one which means to me it's a high
17:30.60 priority test so then now I know
17:33.06 um that anyone else is looking at this
17:34.62 project they know that this is the high
17:36.06 priority task
17:37.68 so what you can do next is actually you
17:39.60 can start customizing the project itself
17:41.82 um so let me show you what happens is
17:43.74 what happens uh next which is one I want
17:46.62 to go and create a new project so I
17:47.94 click on Project here and I go create
17:49.44 project
17:50.70 when you create a project information
17:52.32 Matrix you have a lot of different
17:53.46 options you can start with a blank
17:55.08 project a blank project is what I just
17:56.94 showed you earlier it uses the
17:58.50 Eisenhower Matrix and create those those
18:0.48 four quadrants for you but what's useful
18:3.84 too is actually we have these things
18:5.16 called public templates so over the
18:7.08 years uh we've built out
18:9.42 so various templates based on the needs
18:13.08 of different customers and so there are
18:15.30 some best practices as well so if you're
18:17.34 new to part of Matrix and you sort of
18:18.84 want to go and look at pretty Matrix as
18:21.48 a way to do more than just task
18:22.98 management you can go to public
18:24.54 templates look at some of these other
18:26.28 options we have so for example the 30 60
18:28.38 90 day plan for manager it's just a way
18:30.96 for you to think about how do you plan
18:32.34 out
18:33.24 um your quarter every single quarter
18:34.74 right and so check that out but I'm
18:36.96 going to go ahead and create a blank
18:38.58 project and so I'm going to call this a
18:40.56 test project
18:41.94 oops
18:44.22 and so with the test project I can add
18:46.32 notes if needed I can associate with
18:48.06 groups such as departments as needed I
18:50.70 can choose the basic template which I'll
18:52.26 leave it as basic part of Matrix
18:53.70 template and then I can choose a color
18:55.44 and that's how I add a project and so
18:57.78 when I had a project and I go to this
18:59.88 view right here I open What's called the
19:2.22 project details so we saw the item
19:4.14 details and now we look at the project
19:5.28 details the project details allows me to
19:7.38 start customizing this a little bit more
19:9.00 to my liking for example I have the name
19:10.98 of the project I can start a project and
19:13.14 when I start the project it jumps here
19:14.64 to the very top
19:16.44 um on the top left here then you can see
19:18.42 that this project will really stand out
19:20.58 and so if it's a key initiative that I'm
19:23.16 working on or if a project that I
19:24.90 frequent then that's what I want to put
19:26.46 in the top left there and then down here
19:28.92 you have members essentially these are
19:31.32 team members who can see everything in
19:33.42 this project so the way permission Works
19:35.22 in for Matrix is when you create a
19:36.72 project here only you can see it but as
19:38.88 you add new team members they can see
19:40.80 everything in it and that's the point of
19:43.08 protobatrix in a team environment which
19:45.36 is it is a communication tool so it's a
19:48.36 way to communicate to everybody that
19:49.98 these are the priorities and so
19:51.72 therefore if you have a project that's
19:53.34 very important and there are other
19:54.72 stakeholders make sure you add them
19:57.00 um when you add them to that project it
19:58.56 allows them to see all those priorities
20:0.78 as well and then they can go and when
20:2.94 you have your meeting and so forth you
20:5.04 can project Matrix on the big screen and
20:7.26 you can talk about it and it is very
20:9.30 very helpful to create alignment with uh
20:11.70 with that approach and then down here
20:13.44 you can actually customize both the
20:15.00 quadrant names as well as the color so
20:16.98 you can see that I have the same
20:18.24 terminology do now do later delegate and
20:20.22 postpone but what happens is
20:22.62 as organizations and as you use product
20:24.84 Matrix some of these terminologies
20:27.24 um actually may change based on your own
20:29.40 needs so for example engineering
20:31.44 organization might use P1 for high
20:33.84 priority or in B2 P3 right uh instead of
20:36.90 do now do later and delegate and so
20:39.00 product Matrix offered this
20:40.44 customization for you one thing that's
20:42.90 really neat about this is that once
20:44.70 you've customized a part of Matrix
20:46.20 project you can go here and you can
20:48.54 actually save the project as a template
20:50.46 and once you do when you launch a new
20:52.44 project you can use your template
20:53.88 instead and so then you don't actually
20:57.48 have to go and customize it every single
20:59.22 time but one thing that's really neat
21:1.44 about this templating system is that not
21:4.62 only can we template a matrix we can
21:7.08 actually template all the tasks that's
21:8.76 in the Matrix and so the way you want
21:11.28 can think about this is imagine if you
21:14.52 have a um a particular onboarding
21:17.76 process for a new employee you can go
21:20.52 and build the protometrics project you
21:22.62 you can add all the tasks that they have
21:24.90 to do as an onboarding as part of
21:27.00 onboarding and then you can go and put
21:29.10 in the appropriate quadrants and
21:30.48 appropriate due dates once you save that
21:32.52 as a template and you launch a new
21:35.10 project from that template all the due
21:37.38 dates will propagate for you
21:38.64 automatically so you can just say this
21:40.74 is the start date for the employee and
21:42.78 all the due dates will actually get
21:43.98 created extremely useful for several
21:46.38 scenarios let's just say if you're a
21:48.90 consultant and you bring onboard a
21:50.94 client you can use that same process or
21:53.46 let's say you have a particular project
21:55.68 a construction project where you have
21:58.38 you know a one year worth of tasks uh
22:1.74 everything from documentation to getting
22:3.96 permits uh to supply chain
22:6.90 um
22:7.62 and and so forth so you can actually
22:9.48 create all those tasks as many tasks as
22:11.22 you need with all the appropriate due
22:12.78 dates and all the perfect information
22:13.92 and then now you've just built a
22:16.74 template that your whole organization
22:18.30 can use
22:21.24 so that's the basics of pretty Matrix
22:23.58 the projects the task and then all the
22:26.94 details around that
22:28.74 one of the things I want to talk about
22:30.06 and and this is um this is something
22:32.28 that a lot of our customers create
22:33.42 challenged with is emails and so
22:36.96 pretty Matrix itself is just a software
22:39.44 but one thing that I find to be helpful
22:42.66 is dealing with emails and ensuring that
22:45.96 the most important emails do not fall
22:47.40 through the crack so how many emails did
22:50.22 you get this morning right I on a in my
22:52.56 account on a daily basis I get maybe a
22:55.44 hundreds plus emails
22:57.72 um and so when I start my day and look
23:0.42 at these emails I'm not able to get all
23:2.46 of them get get to them and respond to
23:4.56 all them
23:5.52 um immediately so I always have to go
23:8.22 and decide where should I spend my time
23:10.08 how should I prioritize the important
23:12.24 email so that they don't fall through
23:14.16 the cracks
23:15.54 now if you use something like Outlook
23:17.52 you obviously can flag emails the
23:19.98 challenge with flagging emails is that
23:21.72 if you have Five Flags emails that's
23:23.34 fine but if you have 50 flag emails how
23:25.86 do you decide which of those flag emails
23:27.42 to work on and so now there's another
23:29.16 layer of prioritization of your
23:31.74 important emails right and then not only
23:33.96 that how do you remember when to get
23:35.82 back to that email yes you may be able
23:37.92 to set a a ping and or
23:40.62 um a date on that email but then what if
23:44.22 you actually have to get to that email
23:45.48 prior uh to to the due date just as I
23:49.02 mentioned earlier the difference between
23:50.04 reminder and due dates right on anything
23:52.68 that you have to do so here's an example
23:54.72 let's say I have an email that I get in
23:56.52 Outlook and let's say this email is very
23:58.14 important so pretty Matrix has something
23:59.94 called the protomatrix for Outlook
24:1.44 integration so if you go to um
24:4.86 if you go to the Outlook app store you
24:8.16 can go ahead and install protomatrix for
24:10.44 Outlook and then when you do when I have
24:12.48 an email I can actually hover over this
24:15.06 Ellipsis right here and then when I go
24:17.10 to pretty Matrix I can choose to
24:18.84 prioritize email and so you can see that
24:21.78 when I click on prioritize email what
24:23.76 it's doing is it's allowing me to
24:25.44 capture this email as a task I can
24:28.38 change the name of the task the task
24:30.84 name itself inherits from the the
24:33.18 subject of the email but I can go ahead
24:35.34 and modify that as needed and then the
24:37.38 second thing I can do is actually I can
24:39.00 choose what project it goes in so for
24:41.22 example
24:42.36 um
24:43.56 let's see here we have a test project
24:45.48 that we created and now I can actually
24:47.76 take this email and not just flag it but
24:50.58 instead capture it into the right
24:53.04 context because if this was a customer
24:55.14 email and I have a project for that
24:57.48 customer already
24:59.34 the best way to put it is to put it into
25:1.44 that appropriate project and then I can
25:4.20 prioritize where that email ought to be
25:6.00 right quadrant one two three or four and
25:9.30 then not only that I can assign this
25:10.92 email to a colleague very useful if you
25:14.34 are you know external facing right and
25:17.28 you're getting an email from a customer
25:18.48 but now you need to bring in customer uh
25:21.48 you need to bring in engineering or
25:24.18 other stakeholders who might need to go
25:27.30 and to see those emails as well
25:28.74 otherwise it just assigns to you and
25:30.84 then you can set a due date and be able
25:32.64 to capture that email
25:34.02 and you can see that when I capture that
25:36.06 email I get the same item details um as
25:39.12 what you saw in the web app and so now
25:40.92 it allows me to go and customize this
25:42.90 and update it as needed the notes for
25:45.30 the emails is right here uh and then
25:47.46 actually the email itself is linked so
25:50.34 then I'm able to to
25:52.50 take this email and share it with other
25:55.80 team members
25:57.42 but one thing that you'll see is that
26:0.42 after I prioritize an email in in
26:2.64 Outlook there's a little tag here that
26:4.62 shows that uh there's you know it's per
26:6.90 party Matrix and so what that means is
26:8.70 this email is now prioritized it's very
26:11.16 easy for you to see that you've captured
26:13.26 this email
26:14.46 one thing that's also very unique to
26:16.32 protomatrix is the ability for you to so
26:18.84 send an email to an existing task so
26:21.48 again going back to pretty Matrix here I
26:23.22 open pretty Matrix
26:24.78 um and instead of actually prioritizing
26:26.76 the email what I'm going to do is I'm
26:28.20 going to open that part of Matrix
26:29.34 Outlook integration and I can go and I
26:32.28 can attach an email to an existing task
26:34.74 so you see how here I can attach it just
26:37.44 like that
26:38.70 very useful if you have
26:42.00 um again a particular task that you're
26:44.04 working on and then an email comes in
26:46.38 related to that task and you don't want
26:48.66 to go and create another task but you
26:51.30 want everyone who's working on a task to
26:53.10 get the proper context and so that's the
26:55.62 scenario where you take an email and
26:58.02 then attach it to an existing task
27:0.12 and when I go back to part Matrix here
27:3.06 um you can see that the email was
27:5.10 created and right here it's it's put in
27:8.10 the appropriate quadrant when I go to
27:9.78 the resource section the EML file is
27:12.12 attached and so other team members who's
27:14.04 looking at this will get full access to
27:16.92 everything that they need to know about
27:18.12 the email and so now you've taken an
27:20.94 email you've prioritized it you're
27:22.74 setting due date on it and then you're
27:24.42 inviting everybody to it and so you're
27:26.28 able to actually discuss about that
27:28.44 email here in the chat section and then
27:30.42 address that email as needed
27:33.36 the other thing I want to mention now is
27:35.16 how we tie into the rest of the
27:36.48 Microsoft ecosystem
27:38.16 um so if you use Microsoft teams you can
27:40.20 go ahead and install pretty Matrix from
27:41.88 the app store and then when you do
27:43.56 there's pretty Matrix shows up here on
27:45.48 on this left side you right click and
27:47.52 you pin per Matrix and now what's really
27:50.28 useful is that pretty Matrix is their
27:52.80 inside teams as I mentioned to you you
27:55.62 know one of the challenges that we see
27:57.24 all the time is context switching
27:59.46 there's just so many applications too
28:1.50 many applications too many tabs and so
28:3.78 even even though part of Matrix works
28:5.82 really well in the web app
28:7.50 um and but if you're using Microsoft
28:8.82 teams one of the things you don't want
28:10.02 to do is have to switch contacts all the
28:11.82 time so I really like part of Matrix
28:13.86 inside teams for that reason because
28:15.78 when I'm chatting with somebody I can
28:17.46 actually just open per Matrix and see
28:19.02 everything that I have to do as you can
28:20.76 see the interface looks almost identical
28:22.86 to the web app itself
28:24.54 I still have my list of projects I still
28:26.76 have my quadrants and within the
28:28.02 quadrants I set up the item and project
28:29.40 details
28:30.60 so there's no additional learning curve
28:32.94 that you have to do using the teams
28:34.26 application
28:35.70 but this is where it gets really cool
28:37.74 which is pretty Matrix actually is
28:39.96 probably one of the most integrated
28:41.10 solution inside Microsoft teams so let's
28:43.50 just say if you use pretty Matrix in
28:46.56 teams and if you go to this tab here
28:50.10 um you can and you haven't imagine you
28:52.02 have a conversation with your your
28:53.16 co-worker and you're asking hey by the
28:55.68 way what are the things that I need to
28:57.12 do for you or what are the things that
28:58.98 we're working on what's the status of
29:0.84 task a b c Etc so when you go to this
29:4.08 plus you can add a part of Matrix tab so
29:7.56 what that allows you to do is you can
29:8.94 add two things you can add a full
29:10.56 project what that allows you to do is
29:12.90 actually just include a project inside
29:16.86 um this conversation you have with a
29:19.38 teammate
29:20.70 for example let's say you might want to
29:22.98 create a project that is that's with
29:25.38 your direct reports right so then when
29:27.66 you do have that that particular project
29:30.42 um you can add it here so now you and
29:31.98 your direct report can always see what
29:33.48 are the things you need to work on but
29:35.22 instead you can also create What's
29:36.66 called the one-on-one View
29:38.46 so I've already added here and I go to
29:40.32 the 101 view once you add the one-on-one
29:42.54 view you select the person in this case
29:44.28 your your co-worker here and what's
29:47.34 really powerful about this view is that
29:50.28 it takes everything that you have to do
29:51.84 in protomatrix and it shows you
29:54.90 um all the things you have in common
29:56.10 with your colleague so if you have are
30:0.00 working with with your manager and you
30:1.92 have three different projects that
30:3.48 you're working on you don't have to go
30:5.88 and switch contacts you don't have to go
30:7.92 to protomatrix then open each project
30:9.80 Instead This is that people-centric
30:12.60 approach which is it looks across your
30:15.30 entire party Matrix find out everything
30:17.16 you have to do in common with that
30:19.56 colleague and it shows you in one
30:21.12 central place
30:22.32 thank you
30:23.16 it is extremely helpful
30:26.40 um because when you're you're having a
30:28.74 meeting and you're trying to figure out
30:30.90 where you should be prioritizing your
30:32.76 time Etc that information is here and
30:35.16 then the other thing is uh it's easy to
30:37.74 also identify the things that are due so
30:40.26 you see out here when I have something
30:42.12 that's due
30:43.32 um it actually shows or overdue rather
30:45.42 it shows up rent right so I can sort it
30:47.76 and and see okay these are the things
30:50.16 I'm working on this is when they're due
30:52.98 um is this in the right project is this
30:54.84 the right priority that I um that I'm
30:56.88 working on and so your meeting becomes
30:58.92 so much more efficient because you're
31:0.24 just able to see everything that you
31:3.12 were assigned uh in one central place
31:5.22 and then update them as needed
31:7.14 regardless of the project that they're
31:8.94 in
31:10.20 the other thing that's also really
31:11.76 helpful about our integration into teams
31:14.34 is that when you are talking to somebody
31:16.44 and they ask you to do something you
31:18.30 don't even have to go to protomatrix to
31:20.22 actually create that task in fact you
31:21.96 can just hover over hover over the text
31:24.00 that they sent you click on this
31:26.04 Ellipsis and create protematrix item
31:29.16 and so as you can see if your manager
31:31.68 asks you to do something or if your
31:33.30 direct report asks you to do something
31:34.62 or rather you answer direct report to do
31:37.14 something and then they said hey could
31:38.82 you add it to per Matrix you can just
31:40.56 click on that Ellipsis click on
31:43.14 um choose what project it belongs in set
31:45.84 the due date directly from here and
31:47.52 create that task so what we try to do
31:50.76 here with the software is save you time
31:54.48 and effort uh in everything from taking
31:58.14 any communication and turn into tasks
32:0.36 and then bringing up surfacing up
32:2.64 everything that you need to work on
32:5.10 so if you're looking at pretty Matrix
32:7.14 from that lens then I think you'll find
32:9.42 our software to be extremely helpful
32:10.98 because we're there in the right context
32:13.86 for you
32:15.18 there's a couple of other things inside
32:16.68 teams and as you can see I can actually
32:18.60 insert party Matrix tasks directly into
32:21.72 a team's conversation and I do that
32:24.06 simply by going down here opening up
32:26.22 Matrix and inserting any task and so you
32:29.88 saw how I actually converted an email
32:31.56 into a task right
32:33.54 I can actually send that task right here
32:36.54 um in the chat itself and now my
32:38.46 teammate can look at this and open it
32:41.10 and actually review it the use case is
32:43.20 actually pretty simple which is you get
32:45.36 a really important email from from a
32:47.82 third party and then the third party
32:49.50 asks hey could you look at this and so
32:51.54 forth so instead of just forwarding the
32:54.18 email into your co-worker's inbox and
32:57.30 you don't know if they're going to see
32:58.62 it
32:59.34 um because you don't know how many other
33:0.36 emails they have they may miss it Etc so
33:2.82 instead you prioritize that email and
33:5.28 then you can you can assign it to them
33:6.96 but you can also attach that task here
33:9.80 in the team's conversation with them and
33:12.96 now you know for sure that they see that
33:16.20 email and that they're able to get to it
33:18.92 very helpful when you want to make sure
33:22.02 that important emails don't fall through
33:23.52 the track
33:25.14 so
33:26.40 for Matrix also has a chat bot and you
33:29.46 can look at the chat bot as a way for
33:31.50 you to get reminders as I mentioned it
33:33.96 is very important that you set due dates
33:36.90 and reminders and the way it works is
33:38.76 that in part of Matrix even when you go
33:40.68 to the home view
33:42.12 um there's a section called alerts alert
33:44.34 essentially is attention needed items
33:46.50 that requires your attention and so you
33:48.60 can see here I have an email maybe the
33:51.36 due date is here it'll show up in my
33:53.40 alert and as I click on my alerts it
33:55.20 actually goes away so instead of getting
33:57.48 to you can think of it as a way to get
33:59.40 to inbox zero right you can get to inbox
34:1.32 zero on your alert and so these are all
34:3.36 the things that require my attention the
34:5.46 items that are due the reminders that
34:7.62 are set items that are delegated to me
34:10.08 items that I'm a follower on that I got
34:13.74 updates for and then as you go through
34:16.26 this you can see each task and then you
34:18.66 know that
34:20.52 that you're getting things done and so
34:22.20 from your co-workers perspective if they
34:24.84 leverage part of Matrix correctly when
34:26.82 you assign them tasks they'll show up
34:28.44 here in the alert and if they go through
34:30.12 and and review all of this then double
34:32.82 to see everything that they um they
34:34.74 actually have to tackle and then once
34:36.54 you are done or you want to clear
34:38.28 everything you click on clear
34:39.36 notification and clear all of that
34:41.36 and that's pretty much it at a high
34:43.98 level on what pretty Matrix can do
34:47.04 um or how you can actually leverage best
34:49.38 leverage the basic pretty Matrix
34:50.88 capabilities as you can see
34:53.40 I've shown you
34:55.08 um several things one create projects
34:58.20 use the right quadrant names and the
35:0.48 right terminology for the job right so
35:2.40 then you know that hey everything here
35:4.86 is high priority everything here is a
35:7.62 second this is what we need to plan for
35:9.18 and then and so forth uh and then from
35:11.76 there create tasks and in those tasks
35:13.98 make sure you set due dates and then
35:15.66 install the part of Matrix Outlook
35:17.34 integration so then you can go and
35:18.66 prioritize email and then use the um
35:21.50 Microsoft teams integration so then you
35:24.06 don't have to switch contacts
35:26.36 one last feature that I'll show you uh
35:29.52 which is our AI capability on helping
35:32.22 you achieve your goal so this is called
35:35.22 item onboarding and the way it works is
35:37.62 this which is you can tell pretty Matrix
35:40.26 a goal that you have and part of Matrix
35:42.42 will go and build out a project for you
35:46.08 in order for you to tackle that goal um
35:48.42 so I just have a very simple goal here
35:51.00 that I've created in the past which is
35:53.28 get a promotion to senior project
35:54.96 manager now you can think many there are
35:57.06 many different goals for example your
35:58.50 goal might be to improve your supply
36:0.24 chain or your goal might be how do I uh
36:4.14 better balance my work life right so you
36:7.14 can type in any goal in part of me
36:8.70 drinks and what part of Matrix will do
36:10.32 is we'll leverage AI to actually build
36:13.14 out a set of action items to help you
36:14.88 tackle that so since I've already ran
36:16.86 that
36:17.70 I have this open here and you can see
36:20.58 when I actually go to this project
36:21.84 what's really interesting about this is
36:23.94 pretty Matrix went and used a very
36:25.62 different quadrant name than do now and
36:27.96 do later instead we call it low effort
36:29.82 and high impact High effort high impact
36:31.86 low effort low impact and high effort
36:33.72 low impact as you can imagine if you
36:36.48 were to look at something like this
36:38.28 um where you should really focus your
36:39.54 time is still in quadrant one right
36:41.58 these are the things where the low
36:43.38 hanging fruit for lack of better words
36:44.88 and then these are the things that are
36:46.62 impactful but actually
36:48.96 would might require a lot more resources
36:50.94 to do so you can think of pretty Matrix
36:53.58 as a way to also help you think about
36:58.44 what are the things you need to work on
37:1.44 um in order to further what your goals
37:3.30 are
37:3.96 um because you know it's hard for each
37:6.24 of us to always know what sorry I'll try
37:11.10 to say it in a different way we tend to
37:13.14 know what we need to work on
37:15.38 when we think about
37:17.82 um our own task but then what happens is
37:21.60 we are always in the woods and because
37:24.18 of that we tend to forget what are the
37:26.28 things we can each work on to actually
37:29.16 further our goals and so when you think
37:31.26 about the goal system in part of matrix
37:32.94 it's all about ensuring that you think
37:35.76 about your quarterly goals and annual
37:37.50 goals and so forth and then identifying
37:39.78 the tasks that you need to work on for
37:41.58 you to achieve that so leverage this
37:43.92 capability because I think that's
37:45.18 actually really really powerful I'm
37:47.04 going to go ahead and send it to you in
37:48.48 the chat here
37:51.36 so then you can go there and actually
37:53.52 access it as needed
37:55.86 and so with that I'm actually going to
37:57.48 go back to the presentation real quick
37:59.16 here
38:0.42 and then I want to summarize what we've
38:2.88 talked about
38:4.02 um so one make sure you sign up for
38:6.06 party Matrix and use our apps and teams
38:8.16 and Outlook if applicable
38:10.50 um two I recommend that you create at
38:13.20 least three projects a personal
38:15.00 priorities the things that you know you
38:17.28 want to work on
38:18.84 um
38:19.62 on on a daily basis I share team
38:22.56 priorities which essentially are um
38:25.86 which is a project where you want to
38:27.54 make sure you invite your your manager
38:29.70 or your direct reports or your team Etc
38:31.98 and then a key initiative to ensure that
38:35.10 you are working on the right thing one
38:36.78 of the things I want to mention about
38:38.04 protomatrix is that
38:40.56 use it to track things that truly matter
38:43.20 right
38:44.34 um that's the whole point which is
38:46.74 to go and ensure that the team is on the
38:49.62 same page and that you're that everyone
38:52.02 is working on the right things and so
38:55.38 um if you track the right initiatives if
38:59.22 you prioritize the right tasks with
39:1.62 partometrix it will be far more helpful
39:3.66 uh to you in general
39:6.54 and then finally uh or and then invite
39:8.94 the appropriate team members and Pitch
39:10.56 to them on why it's important to focus
39:12.30 on high impact tasks find the
39:14.64 discrepancy find the disagreement in
39:16.68 priorities if you find a disagreement in
39:19.32 priority
39:20.34 you know within the first week of using
39:22.50 part Matrix then you know you're doing
39:23.94 something right
39:25.68 and then create items in part of Matrix
39:27.48 with due dates in the appropriate
39:28.92 quadrants and make sure you don't drop
39:30.60 them that's the point as well and then
39:32.94 as you you finish each task in per
39:34.74 Matrix mark them as done we actually
39:36.60 build out records and reports on all of
39:39.72 that for you down the road
39:41.52 and then the other thing is make sure
39:43.14 you ruthlessly prioritize again you know
39:46.20 many of you here are here because you're
39:48.42 looking for better way to prioritize
39:50.34 because you know our clearly whatever it
39:53.34 is that you're using prior may not be
39:55.32 working as well as you'd like and that's
39:58.02 the truth um which is you know I still
40:0.30 constantly face challenges around
40:1.62 prioritization because there's just
40:4.02 always so hard to make those key
40:6.36 decisions on where I should focus my
40:8.76 time on at any point in time but you
40:10.98 have to be ruthless about it so make
40:12.78 sure you're prioritized make sure that
40:15.06 um you don't have too much in quadrant
40:16.56 one because if you're if everything is
40:18.36 important urgent then nothing is and if
40:20.46 you're always working on quadrant one
40:22.02 that means you're firefighting uh so
40:24.90 your goal is to actually have quadrant
40:26.58 one to approach zero and that you're
40:29.28 spending time on quadrant two the
40:30.96 planning quadrant and that you're
40:32.88 actually appropriate allocating the
40:34.62 resources
40:35.70 um to ensure that you meet your goal
40:39.66 so what should success look like with
40:42.30 part of Matrix one it should be one
40:44.22 central place for you to track your
40:45.60 priorities uh everyone the team starts
40:48.36 to understand and rely on key tasks if
40:51.18 at any moment in time you or your team
40:54.12 members find that you don't know
40:56.28 if you're working on the right thing
40:57.84 then that's when something like part of
41:0.06 Matrix will be extremely beneficial and
41:2.52 my recommendation is you could even
41:5.04 project Matrix on the big screen when
41:6.90 you have the meetings so then everyone
41:8.88 can look at it and just talk about the
41:11.46 things that matter
41:12.84 um because you should not be talking
41:13.98 about quadrant four or quadrant three
41:16.50 you should only be talking about
41:18.12 quadrant one and quadrant two uh and
41:20.52 then you can go and identify that hey
41:22.20 these are the things that we are we
41:24.42 should work on but we're not right
41:26.58 again make sure you look for the
41:28.08 discrepancies
41:29.40 um and then finally uh and then rather
41:31.74 repetitive procedures are templatized so
41:34.44 so if you are investing a lot of time
41:36.66 and effort building out and customizing
41:38.82 protomatrix and setting due dates and so
41:40.68 forth and it's a repetitive process use
41:42.90 that template system it will save you a
41:44.70 lot of time down the road and then make
41:46.56 sure that you install our Outlook
41:47.82 integration to prioritize emails um and
41:50.52 if you do that then I think that you'll
41:52.44 find really good success with part of
41:54.66 Matrix you'll start
41:56.46 um you know not dropping any critical
41:58.86 tasks any critical emails and so at the
42:1.38 end of the day it starts with you as a
42:3.24 single person to use part of Matrix uh
42:6.54 Team success just comes as a consequence
42:9.06 of everyone you know staying in line but
42:12.06 it always starts with one person and and
42:14.34 that's you so with that I conclude my

43:37.68 version of pretty Matrix so if they're
43:39.18 not using protomatrix as a full-fledged
43:40.92 software solution they can have access
43:42.54 to the free version you can also send
43:44.34 out a read-only version of protobatrix

44:5.64 can make comments they can Mark tests as
44:7.44 done and then with all of that comes the
44:9.90 reporting aspect of it so then if you're
44:12.18 a manager and you have you know five or
44:14.28 six direct reports that's working with
44:15.84 you directly and you're assigning them
44:17.76 tasks and so forth as you get things
44:19.56 done as they get things done you can
44:21.66 actually foreign track that progress and
44:25.32 then the second thing is that when you
44:27.18 assign a task to somebody you can
44:28.56 actually go to our workload reporting
44:30.18 and you can see if anyone is overloaded
44:32.52 with work it's so helpful
44:35.04 um because if you you know are bringing
44:36.72 on a new project and and you're trying
44:39.18 to assign tasks to to one person and
44:41.28 they already are completely overwhelmed
44:43.08 that will work
44:44.82 um so pretty Matrix allows you to go and
44:46.44 see who's working on what and I'll show
44:48.84 you what that view looks like here
44:51.42 so when I go to report here I can
44:54.06 actually go to workload management and I
44:56.22 can see the number of Party Matrix
44:58.44 action items that every person is
45:0.00 assigned uh and I can click on each of
45:2.34 these to drill down further so if again
45:5.04 if you're trying to you know ensure that
45:7.08 everyone is on task uh and you want to
45:10.74 add and assign them more things make
45:13.68 sure that they're not already completely
45:15.00 overwhelmed and likewise use this to
45:17.10 your advantage when your manager asks
45:19.38 you to do something uh and you're
45:21.00 already completely overwhelmed show them
45:22.68 they would say hey by the way like these
45:24.36 are my priorities what should I drop
45:26.28 what should we de-prioritize
45:38.22 and then the other thing I since I
45:40.44 mentioned the read-only version you can
45:42.12 actually go to here
45:44.04 um and you can share project and
45:45.90 read-only mode for example and so that
45:48.60 allows you to share a project with
45:50.04 somebody you could be an external person
45:52.02 if needed but they can actually take a
45:53.76 look at your pretty Matrix project and
45:56.34 but they don't have access to editing it
45:58.32 so that's pretty helpful
