1:11.82 um pretty Matrix one of the things that
1:14.04 I think is really important to
1:15.66 understand is that party Matrix is about
1:17.52 prioritization so it's not just a
1:19.56 project management software it's not
1:21.00 just a task management software but it's
1:23.04 really about helping you understand what
1:25.20 you need to work on at any point in time
1:27.00 and that's the idea around party Matrix
1:29.64 and so we think that
1:31.98 out there you have so many different
1:33.42 sources of data everything coming from
1:35.16 emails to meetings
1:37.26 um so pretty Matrix creates a one
1:38.76 centralized place for you to get a
1:40.38 real-time status an understanding of
1:42.24 what your priorities are across your
1:43.86 entire project
1:46.38 I also want to talk about what makes
1:48.24 part of Matrix different first of all
1:50.10 what we do is we use the four quadrant
1:52.62 methodology which I'll dive further in
1:54.42 as the core methodology behind the
1:57.48 philosophy of pretty Matrix to help you
1:59.78 prioritize better and actually
2:2.28 understand what it is that you need to
2:3.84 work on and communicate your priorities
2:5.58 across the entire organization and
2:7.38 that's really key the second is party
2:9.24 Matrix is the only solution out there
2:11.04 that is Microsoft 365 security certified
2:13.82 across our web app Microsoft teams app
2:16.74 as well as our web app so if you're an
2:19.20 I.T this is something that you can use
2:21.30 to make sure that you can easily approve
2:23.16 part of Matrix for your organization and
2:25.02 if you're not an I.T that's something
2:26.58 you can share with your it organization
2:28.20 to help get part of Matrix approved for
2:30.36 you as well as other team members
2:32.76 uh the other aspect of our pretty Matrix
2:34.92 is over the last several months we've
2:36.72 started enhancing the capabilities
2:38.22 around pretty Matrix to leverage AI to
2:40.56 help you become more productive there's
2:42.00 so many ways to use Ai and we're really
2:44.16 excited about taking some of those
2:45.60 capabilities to help you achieve your
2:47.76 goals more effectively
2:49.40 we also have very very different view on
2:53.22 how you look at prioritization and so
2:56.40 not everything belongs in the project
2:57.96 right not everything belongs in one area
3:0.84 you have so many data sources expanding
3:3.90 across so many different spectrums so
3:5.28 many different areas and
3:6.06 responsibilities one of the things that
3:7.62 we're able to do is have create this
3:9.36 one-on-one view which the people-centric
3:11.82 view for you to understand what you can
3:14.16 work on for your manager or for your
3:16.44 colleague at any point in time we also
3:18.84 can help you save a lot of effort with
3:21.30 templates that's one of those things
3:23.16 where pretty Matrix allows you to not
3:25.68 have to waste time doing the same thing
3:28.26 over and over again especially if you
3:29.82 have a routine an sop or
3:34.16 processes that you want to use over and
3:36.54 over again and then finally just a note
3:38.88 today I'll be talking about party Matrix
3:40.56 as a SAS solution which again is our web
3:42.66 app you can use it across your
3:44.46 organization but for those who are not
3:46.44 aware we also have a HIPAA compliant
3:48.60 solution as well as an Azure government
3:51.24 Cloud solution
3:53.16 um and of course for Enterprise
3:54.30 customers manage private Azure

4:30.36 so let's start start from the beginning
4:32.46 about the fundamentals behind
4:34.20 partometrics so there's a famous quote
4:36.30 attributed to a former president
4:37.38 Eisenhower what is important is seldom
4:39.42 urgent and what is urgent point now one
4:41.94 thing that's really the takeaway from
4:43.44 here is that every single day
4:45.96 um we're inundated with so many
4:47.64 different new things right that you know
4:50.46 in the morning I look at my emails and I
4:52.14 get 30 new emails how many of those are
4:54.12 actually important vast majority or not
4:56.34 and so we get
4:58.08 um this day all these tasks that's
4:59.70 coming to us
5:1.02 day in day out and that's the Urgent
5:3.78 aspect of it and it's just poking you
5:6.12 over and over again and really takes
5:7.74 away our focus and the core of belief in
5:10.86 in this philosophy is that if you look
5:13.74 at everything you have to do imagine if
5:16.14 I asked you to take a piece of paper
5:17.40 right now start writing down jotting
5:19.14 down everything that you think you have
5:20.82 to do today or this week or this month
5:23.28 or this quarter at your work or even in
5:25.74 your personal goals
5:27.90 and then from there
5:30.18 I ask you what to choose what are things
5:32.58 you should work on right now do you
5:34.44 start at the top of that list or do you
5:36.06 start at the bottom of that list or do
5:37.20 you start somewhere in random in the
5:38.46 middle and that's the challenge when you
5:40.26 have that list gets so long and when you
5:42.06 add something to it again where do you
5:43.50 what do you put in that list so the idea
5:46.20 of behind this philosophy is to take all
5:49.02 those things that you have to do and
5:50.64 split it into a two by two Matrix and
5:53.70 that two by two Matrix has a very simple
5:55.32 dimension of let's just call importance
5:57.72 and urgency that's one one approach that
6:0.72 some have um have gone with and so then
6:3.48 you suddenly have okay what are the
6:5.52 things that are important urgent that's
6:6.90 what I should do now and then what are
6:8.88 the things that are important but not
6:10.50 urgent those are things you have to plan
6:11.70 for and then what are the things that I
6:13.14 can actually delegate or ask someone
6:15.48 else to do and then finally what are the
6:17.40 things that I should put on the back
6:19.38 burner or maybe not even do at all get
6:22.02 rid of completely so if we're to do that
6:24.48 what happens is
6:25.92 you get this Matrix and those are the
6:28.56 things that are due now those are the
6:29.94 things that are planned for the delegate
6:31.44 the Inbox and so you've taken that list
6:33.48 and you've turned it into this
6:35.46 prioritization Matrix and
6:38.22 here's the next part that's actually
6:39.60 really really interesting which is I'll
6:41.58 ask you to go and take this Matrix that
6:44.10 you've written down on a piece of paper
6:45.42 walk around the office and compare notes
6:48.12 right you talk to your manager hey by
6:50.76 the way these are my priorities what do
6:52.32 you think you talk to your colleague hey
6:54.06 these are my priorities across all these
6:55.74 projects I work with you what do you
6:57.12 think can you talk to your direct
6:58.20 reports hey these are my priorities let
7:0.12 me see yours so if you start comparing
7:2.46 notes what do you see do you see that
7:4.62 you agree with everything what if you do
7:6.36 then that's fantastic you don't need per
7:7.74 Matrix if every one of your organization
7:9.36 knows exactly what they need to work on
7:11.04 at any point in time you do not need our
7:13.38 software you don't need any software
7:14.64 whatsoever you just go and execute but
7:17.28 if you do find discrepancy and you start
7:19.68 seeing that hey you know what some of
7:21.24 these priorities are actually
7:22.86 different than what
7:24.96 um what I think is important and and so
7:27.36 forth then suddenly you have a starting
7:30.48 point for you to have a conversation
7:32.22 around your priorities and what does
7:34.20 that you should really be working on and
7:36.24 at the end of the day that's what part
7:38.22 of Matrix is party Matrix as a software
7:40.86 is a digital version of this Matrix and
7:43.74 then second of all it's a communication
7:45.54 tool that one it communicates to you
7:48.42 what you should work on right so don't
7:50.28 get distracted by the things in quadrant
7:51.84 three and four work on the things that's
7:53.58 quadrant one and then ideally that's
7:55.74 empty so then you can work on quadrant
7:57.30 two the things you'll be planning for
7:58.62 right that's how you should be spending
8:0.00 your time so that's the first thing it
8:2.64 communicates to you where you should
8:3.96 spend your time the second thing it
8:5.82 communicates to everyone else in your
8:7.80 organization what are the priorities
8:9.12 that they
8:10.62 um they should have and how you can
8:13.98 actually create alignment
8:18.18 so the four quadrant
8:20.64 um the Eisenhower Matrix then makes it
8:23.52 very very
8:24.90 transparent on what it is that you
8:27.48 should care about and my argument is
8:30.48 that it is the hardest part in all of
8:32.88 this so if it is not easy for you to
8:35.22 take all those things you've written
8:36.30 down and printed the Matrix well that's
8:37.92 the point because if you can't make a
8:39.84 decision how can anyone else make a
8:41.70 decision for you on what the priority
8:43.14 should be so success from using party
8:45.30 Matrix is about discovering those
8:47.70 disagreements and I think that as you're
8:49.92 looking at our software and as you're
8:51.78 looking to apply it to your work both
8:54.36 your work and your life as well as
8:56.10 managing critical projects everything
8:57.90 from that's why teach your goals for
9:0.12 your organizations to the day-to-day
9:2.16 stuff that you actually have to get done
9:3.54 make sure that you're using it as that
9:6.06 communication tool
9:8.28 as I mentioned to many of you in the
9:10.32 beginning here these this webinar is

9:46.62 okay so this is what party Matrix looks
9:50.10 like
9:51.06 um so you should be able to see my
9:52.38 screen here I have a very very basic
9:55.38 display of party Matrix in this
9:58.32 particular case I have a slightly
10:0.00 different quadrant names and what I
10:1.74 mentioned to you the do now plan right I
10:3.66 call it critical immediate critical but
10:5.16 not immediate but the idea is the same
10:7.86 so when you have when you use party
10:9.96 Matrix essentially you have this four
10:11.70 quadrant box and as you hover over each
10:14.16 of these you're able to add tasks very
10:16.86 very easily input Matrix we call it
10:19.14 items and the reason we're called items
10:20.76 because not everything is a task because
10:22.44 it could be resources like documents or
10:24.96 whatever and maybe they belong in
10:26.52 different places but to add a task it's
10:28.92 actually really really straightforward
10:30.06 so imagine if I want to add an item here
10:32.58 so I want to follow up with
10:35.34 um
10:36.48 webinar participants right so imagine if
10:38.88 I I after this I want to send an email
10:40.86 to all of you so I set myself a reminder
10:42.42 to do that and that's how I create a
10:44.28 task but the way part of Matrix works is
10:46.44 that we actually also use natural
10:47.82 language to make it easier for you and
10:50.46 so if I just create a task well when did
10:53.10 I do it you know what am I going to do
10:54.30 it right now or in two weeks so I can
10:56.10 just say do tomorrow
10:57.90 and if I do something like that what
11:0.00 happens is part of Matrix creates a task
11:1.62 for me here it is in quadrant four and
11:4.26 then afterwards we use natural language
11:6.00 and it actually creates a due date for
11:7.74 you so I've just actually done two
11:10.02 things in just one step but imagine if
11:12.54 now I understand that wait a minute you
11:14.28 know what this is actually something
11:15.18 that's really critical and important I'm
11:16.68 going to go ahead and drag it to
11:17.82 quadrant one and now in this particular
11:19.92 Matrix I see what my tasks are and if I
11:21.96 were to start my day tomorrow I would
11:23.40 look at this like hey you know what this
11:24.72 is actually important and urgent I got
11:26.04 to get that done and so I can see that
11:28.26 um and the moment that I set a due date
11:29.76 in for Matrix we actually set get
11:31.62 reminders that hey you actually have
11:33.96 this on your calendar make sure you do
11:35.94 it
11:37.26 now you notice that when I create that
11:39.12 task on the right hand side here there's
11:40.98 actually What's called the item details
11:43.02 so item details is essentially an
11:45.06 expansion on the information the
11:47.34 metadata Etc around that task so for
11:50.40 example the top here is what project it
11:53.04 belongs in I can move it to a different
11:54.60 project if needed and then second the
11:57.06 name of the item I might want to modify
11:58.98 that later as needed next to that is
12:1.62 star when I star task what it does is
12:4.20 actually say hey you know what this is
12:5.94 not only in a certain quadrant but also
12:8.16 I want a special report on it I want to
12:10.38 make sure that this is at the very very
12:12.12 top of my list so that's another
12:14.10 dimension of flagging something that
12:15.84 says you know what this is critical
12:17.94 um you can add icons so for example
12:20.28 since this is follow-up and let's just
12:23.04 say it's related to email maybe I'll
12:26.04 choose
12:27.96 uh
12:30.00 uh a phone call icon here right so
12:32.52 that's following up with the webinar
12:34.98 participants and then right after that I
12:37.08 have owner so what happens is every
12:39.18 single task in Prodigy chicks has an
12:40.80 owner exactly one owner not multiple
12:42.60 owners exactly one owner and the owner
12:44.70 is the icon the Avatar that shows up
12:46.62 right here the idea behind this is that
12:49.38 it's about responsibility so earlier
12:51.42 when I talk about your personal task
12:53.16 well it's great that's you you're the
12:54.72 owner but imagine as you start using
12:56.58 part of Matrix more and you want to
12:57.84 communicate to others hey this this is
12:59.82 my task but this is you know Bob's tasks
13:1.68 is Tom's task
13:3.12 Etc then you want to know who the owner
13:4.56 is we don't want multiple owners because
13:6.48 you want to have a very clear
13:7.62 responsibility who that person is but
13:10.02 there might be people who are actually
13:12.54 um who are actually relevant to this
13:15.12 particular task and they're called
13:16.38 followers so a task may have one owner
13:18.72 but multiple followers and if you want
13:20.10 to add followers to a task you click on
13:21.48 this plus icon and then you can choose
13:23.46 someone else who might be relevant to
13:25.20 this particular task
13:26.58 and then after that you have progress uh
13:28.80 so for example zero to 100 100 means
13:31.44 something is done and then you have
13:32.76 effort how long does that take not all
13:34.38 tasks are created equal and then you
13:36.24 have due dates as I mentioned earlier
13:38.04 but then there's also something called
13:39.42 reminders and the way reminder works is
13:41.34 let's just say you have something to do
13:42.96 in two weeks but if you wait for you
13:44.94 wait two weeks to get it done well
13:46.20 that's not gonna work because you'll be
13:47.82 late for that so reminder remind you to
13:50.70 actually get started earlier right so
13:53.22 for example because I have this
13:54.90 follow-up with our webinar participant
13:56.76 due tomorrow I can actually set a
13:58.74 reminder right let's go ahead and set a
14:0.24 reminder for me today so then
14:3.24 um I remember to go ahead and take a
14:5.10 look at this later okay so now I have
14:7.50 the reminder set and so in three hours
14:9.54 the system will send me reminders hey by
14:11.46 the way you should get started on this
14:13.02 um so then you can actually meet your
14:14.16 deadline
14:15.42 and then as you look down further
14:16.92 there's three additional options here
14:19.20 within the part of Matrix um item detail
14:21.30 the chat what the chat is is you can
14:23.82 think of it as two things one the
14:25.98 history of the changes so the way part
14:28.44 Matrix works is we actually create a
14:30.30 full history of all the changes that you
14:32.52 have related to every single task and
14:34.68 the reason for that is for you to review
14:37.44 imagine if you're working a particular
14:39.54 tasks and then you're changing the
14:41.40 priority level you're adding notes and
14:43.26 you're inviting other people and you're
14:44.82 having conversation around it
14:46.88 but in six months when you look at it
14:50.58 again will you remember the reasons you
14:54.00 make some of those changes or who you
14:56.34 assign it to or why you change a due
14:58.02 date and so the chat is a way for you to
15:0.30 have that immutable that unchanging
15:2.34 history so you can look back and then
15:4.74 understand oh hey I made this decision
15:6.72 because of XYZ and then importantly if
15:9.90 you bring on someone new someone
15:11.28 completely new to the organization they
15:13.38 can jump into a party Matrix right away
15:14.82 and get the full context and
15:16.62 understanding of how decisions were made
15:19.20 what priorities are for every single
15:21.18 task and when they would move around Etc
15:22.98 so this is not something you can achieve
15:24.84 with emails this is not something you
15:26.46 can achieve with a Wiki document or any
15:29.76 basic task management software
15:31.74 so that's the chat the second thing a
15:34.26 good way to use a chat is a way to
15:35.82 communicate to others uh so instead of
15:37.98 just sending a message inside teams or
15:39.90 having a conversation in the meeting you
15:41.88 can actually send messages to to
15:43.44 everyone in this particular task and
15:45.90 they can look at it and have an
15:47.28 understanding of the decisions again
15:49.80 that's made around here
15:51.84 the second up part of it is notes um so
15:54.30 notes is just adding additional notes to
15:56.22 the task itself it's not intended to be
15:58.50 a rich text place where you can go and
16:1.02 do all sorts of fancy stuff you have
16:3.00 Microsoft Words you have Google docs for
16:4.74 that you can just link that into part of
16:6.72 Matrix instead the notes section is just
16:8.76 for you to add some details around the
16:10.56 task itself the other thing can do with
16:12.42 notes is actually you can create
16:13.56 subtasks so I can go and I can do
16:15.54 subtask
16:17.16 one subtasks
16:20.34 to subtask three right so I can create a
16:23.94 subtask inside pretty Matrix and um for
16:26.82 each of these action items and then
16:29.04 lastly there's the resource section the
16:31.08 resource sections allows you to go and
16:33.24 attach additional information into the
16:35.34 item itself could be files could be
16:37.44 images example let's just say you want
16:40.02 to have an email and take that email and
16:41.94 have it as task well you want that email
16:43.56 attached into part Matrix here so then
16:45.96 later on you look at this you can know
16:47.58 exactly what that emap was or maybe you
16:50.16 asked someone to could you review this
16:52.74 particular report that's the way it
16:54.54 works too so you can link to your
16:56.70 intranet you can link to a Google Docs
16:59.58 you can link to a Microsoft Word
17:0.90 document you can upload them if needed
17:3.24 Etc and that goes into the resource
17:4.80 section furthermore in the resource
17:6.78 section I won't go too much into the
17:8.82 details the resource section you can
17:10.62 actually link to other party Matrix
17:12.06 tasks as well so pretty Matrix allows
17:14.22 you to actually link action items
17:16.92 together create dependencies let's say
17:18.84 you got to get this done a done first
17:20.40 before B and then permanent will
17:22.50 automatically build Gantt charts for you
17:23.94 that's something that we can address in
17:25.98 the more advanced webinar but that's you
17:28.08 can think of the resource section as a
17:29.82 way to add a lot more details than what
17:33.78 you can possibly add in the chat or
17:35.34 notes section
17:36.42 now if I were to go go if I were to go
17:38.52 back to the chat section you can see
17:40.02 that actually the record is kept for me
17:42.00 here right I create a new sub task one
17:44.04 two and three and right now the progress
17:46.14 is zero one thing I can do is as I Mark
17:48.72 the task is done you'll see that the way
17:50.82 part Matrix works is if you don't you
17:53.34 don't
17:54.00 um manually override the progress if you
17:56.46 create three sub tasks I get mark one is
17:58.14 done well it's 33 done so that's
18:0.30 automatically captured for you as well
18:2.22 and so that's basically what an item
18:5.58 detail is so you can think of it as a
18:8.58 way for you to just
18:10.32 add more information as needed but you
18:12.42 can also see that actually none of this
18:13.92 was absolutely crucial all you needed
18:16.44 was the task the quadrant and the owner
18:19.62 and the owners automatically selected
18:21.96 so now let's take a look at this bigger
18:24.42 picture
18:25.26 um imagine if you want to go and you
18:27.78 want to start customize some of these
18:29.94 projects so then it maybe resonate a
18:32.28 little bit more with you earlier I
18:33.78 showed the do now the plan as the
18:35.94 quadrant name well if I click on this
18:38.70 little I icon here I open What's called
18:40.98 the project details when I open the
18:43.50 project details I can change the name of
18:45.00 the project but the second thing I can
18:46.80 do is I can invite team members so when
18:49.92 you first create a project in pretty
18:51.12 Matrix it actually starts out as just a
18:53.28 project for yourself so that's the most
18:55.62 basic level right and so these are this
18:57.60 is a project that's only you in it
18:59.22 you're the only person who can see the
19:0.54 task in it and it could be your personal
19:2.28 task it could be the things you need to
19:3.84 do
19:4.92 um for your work etc you can have as
19:7.80 many projects as you like in print
19:9.00 Matrix but what you can also do is you
19:11.28 can invite others to it so imagine if
19:13.86 you have a particular Initiative for
19:15.36 this quarter you can go create a project
19:17.28 and then click on this plus icon and
19:19.56 invite additional team members into this
19:21.72 the moment they're invited and they join
19:23.58 this particular project they can see all
19:26.04 the tasks in it and so that's how the
19:27.36 permission control
19:29.22 the permission control works so if
19:31.62 someone can see the task
19:33.78 uh if someone is in a project they can
19:35.82 see those tasks in both to see the same
19:37.80 priorities as you do and then that's
19:39.30 when you can discuss and you can move
19:40.62 things around as needed and then down
19:42.72 here you have the quadrant name so I
19:44.22 have critical immediate but I actually
19:45.48 can can change this and customize this I
19:47.76 can call this do now
19:49.74 um do later
19:52.32 uh delegate
19:55.02 and then my inbox and so you can see
19:56.94 that what happens is as I change that
19:58.86 the quantum names changes here and so as
20:0.90 you use pretty Matrix more maybe there's
20:2.70 some Matrix quadrant names that resonate
20:6.00 with you better and the reality is
20:7.80 everyone works in different ways so
20:11.10 there is no single way that you know we
20:13.44 can create alignments across the whole
20:15.12 organization and so even different teams
20:17.40 different departments actually have very
20:19.02 very different terminology that they may
20:20.64 use in their quadrants and so prior to
20:22.26 Matrix gives you that flexibility
20:24.66 so if I were to pause a moment this is
20:27.06 where I would say that you'd get 80 of
20:30.36 the value out of protein matrix with 20
20:32.52 of the work
20:33.78 eighty percent of the value comes from
20:35.70 one creating projects
20:38.28 with the appropriate quadrant names
20:41.28 and then in there inviting the
20:43.50 appropriate people
20:45.06 and then writing down your priorities
20:47.64 inside pretty Matrix and making sure
20:50.16 that everyone sees those priorities
20:53.90 and create that alignment because if you
20:57.54 start seeing someone within your
20:58.80 organization with a different priority
21:0.48 level than than you that's when you
21:3.72 should have that discussion right away
21:4.86 that's when you schedule that meeting to
21:7.68 actually talk about it and then when
21:9.36 you're in that meeting you can actually
21:11.52 pull up for the Matrix and look at it
21:13.56 and talk it through and move that item
21:15.90 back and forth or whatever it is to the

21:20.94 set the appropriate due dates the second
21:23.40 thing I want to suggest to you is make
21:25.56 sure you set due dates if you set due
21:27.54 dates and print Matrix it shows up in a
21:29.46 lot of different other a lot of other
21:30.72 places so I've shown you the quadrants
21:33.24 here but the way you can look at pretty
21:35.52 Matrix is there's a data a database of
21:38.22 all the tests you have and then you have
21:40.20 different views so I can go to the list
21:42.18 view the list view takes everything that
21:43.92 I have instead of displaying the
21:45.48 quadrant I display in a list it is very
21:48.00 very easy to see the tasks that are
21:50.22 overdue as well as the tasks that are
21:52.92 assigned to you across the entire Matrix
21:54.72 so when you go to this view you can sort
21:56.70 by each of these
21:58.68 column name the other view you have is
22:1.44 the calendar view so when you have a
22:3.36 calendar view all the tests and have
22:4.98 dates on it shows up on here and then
22:6.90 you can just click on the task and you
22:8.46 can review what it is that you have to
22:9.90 work on and if you need to reprioritize
22:12.12 it or rather move it to a different date
22:13.74 you just drag it drag it to a different
22:16.56 day and partometrix will automatically
22:18.54 update the due dates for you it updates
22:20.52 The Matrix for you and then not only
22:22.32 that the whole record is kept here the
22:24.84 reason that record is cap is actually
22:26.28 for a very important reason imagine if
22:28.08 you assign a task to your your co-worker
22:31.32 say could you do this by a certain date
22:33.96 um but then
22:35.16 they missed it and so they changed the
22:36.90 due date and then they'll get it done
22:38.58 later well what happens is you want to
22:40.68 make sure you know that the due dates
22:41.94 has been changed and so party Matrix
22:43.62 keeps a tally of that history of that
22:45.54 record for you
22:47.22 and then we have the Gantt chart and the
22:48.84 Gantt chart is actually really really
22:50.10 straightforward so part of Matrix is not
22:51.90 one of those software that will go and
22:54.06 make it extremely difficult for you to
22:55.98 build out Gantt charts and create
22:57.84 dependency and so forth product Matrix
22:59.28 all it's doing is it takes the
23:0.72 information that you have and build up
23:2.64 that Gantt chart and visual for you so I
23:6.06 don't have to do any additional work
23:7.32 here now I can go and add items I can
23:9.72 link them and so forth but pretty Matrix
23:12.36 just visualizes that
23:13.98 and then finally you have this thing
23:15.66 called the feed so you can think of the
23:17.88 feed as a history of all the changes I
23:20.40 have within this project again for the
23:22.62 purpose of creating transparency across
23:24.84 your team as well as your
23:26.70 um for yourself and so always be able to
23:29.04 see what is it that matters
23:30.96 okay so that's the Matrix that's the
23:33.84 item today let me show you how to create
23:35.64 more major C's more projects so we call
23:38.40 them projects but the reality is they
23:40.86 they can be a lot more than projects
23:42.24 they can be goals they can be
23:44.10 initiatives and the way I look at it too
23:46.68 is there's at least at least
23:49.62 um two types of projects the first is
23:52.58 your transient project so what a
23:55.62 transient project is has a sort of a
23:57.36 start date and date right let's say if
23:59.94 you're a consulting firm and you're
24:1.32 bringing on a new customer and I'm sorry
24:3.78 a client and that client starts July 1st
24:7.20 and and September 30th well that's a
24:9.48 Transit project because everything you
24:10.80 have to do in that project you've got to
24:12.78 get done so when you create a project in
24:14.40 print Matrix you can just create that
24:16.68 you can have the quadrant and so forth
24:18.48 with your goal is to finish that project
24:19.98 and then when you're done you can
24:21.24 archive that and then the second is more
24:23.40 persistent and persistent means these
24:26.04 are something that sticks around so for
24:27.36 example
24:28.56 um and actually in my my product Matrix
24:30.90 I have 300 plus projects that means I
24:34.14 have all types of projects transient as
24:36.60 well as
24:37.76 persistent and within our own
24:40.20 organization we have projects for each
24:42.60 of our software application and this is
24:44.70 an unending list of things to do so you
24:46.98 can look at it as a persistent
24:49.38 project that never finishes and in fact
24:51.72 the number of tasks and action items in
24:53.34 there will keep growing so when you use
24:55.50 pretty Matrix just in the back of your
24:57.60 mind when you create a project just
24:59.22 think hey you know what is this a
25:0.48 transient project or a persistent
25:2.04 project so this is how you create a
25:4.02 projects go here
25:5.88 click on project if you click on show
25:9.18 our project here it shows you the whole
25:10.98 list of projects so this is my list of
25:13.32 project and then I choose end project
25:15.72 when I add a project I have a couple of
25:17.52 choices so first of all when you use
25:19.92 protein matrix for the first time you're
25:21.48 going to see just this blank project
25:24.18 but if you go down here to public
25:26.16 templates you can actually also see some
25:29.28 templates we've created for you and this
25:30.90 is some best practices we've seen over
25:32.76 time and we add to this slowly but for
25:36.42 example 30 60 90 day plan is actually
25:38.58 pretty popular because if you're a new
25:40.50 manager
25:41.76 choosing this particular Matrix just
25:44.28 creates different custom project names
25:46.56 or quadrant names for you so then you
25:48.66 can think about what are the things I
25:50.04 can do as a manager as a new manager to
25:52.32 ensure My Success very very
25:53.64 straightforward you don't have to go and
25:55.92 learn every anything new you simply
25:57.90 choose that but I'm going to go ahead
25:59.46 and choose a blank project here
26:1.68 so I'll call a new project and I can do
26:5.64 a new project I can add notes to this
26:8.10 project if needed
26:9.66 um User Group you can think of user
26:11.40 group as like departments so for example
26:13.20 maybe sales or marketing or engineering
26:15.66 or something like that and the way it
26:17.46 works with user group is that you can go
26:19.20 and say that hey this is a
26:22.26 this particular client works with all of
26:25.26 these folks right and so when you create
26:27.18 a project with that user group as you
26:29.22 add more and more team members to the
26:30.90 user group they automatically get access
26:32.46 to the appropriate project so you can
26:33.96 think of it as permission control and
26:35.46 then when someone leaves uh that group
26:38.04 then they lose access those projects as
26:39.84 well
26:40.86 so I have no user group I'm not going to
26:42.84 select a user group and then I can have
26:44.64 again some different types of matrices
26:46.56 these are basic blank matrices I'm going
26:49.32 to go ahead and choose the Eisenhower
26:50.70 Matrix and then I can choose a color
26:52.38 theme as needed that's how I add a
26:54.36 project very very easy very very
26:56.10 straightforward and now I open up and
26:58.74 you can see how this is the exact same
27:0.54 view I have earlier on what is inside of
27:4.14 projects
27:5.16 and so when you use pretty Matrix make
27:7.50 sure you just create a couple projects
27:9.78 my suggestion is one create a project
27:12.12 for your personal goals create a project
27:14.82 for the key initiative that you're
27:16.80 working on this quarter right whatever
27:18.36 that may be depending on your job
27:19.92 function and then create a project that
27:22.68 you can share with your manager so then
27:24.66 everyone can be on the same page and so
27:26.64 that's something that you can share with
27:27.78 others so then you guys can both look at
27:29.70 it
27:31.74 foreign
27:33.30 so with that I'm going to pause here for
27:35.10 a second and again I do want to mention
27:36.78 that if there's any questions you can
27:38.16 see in the chat now I want to step back
27:40.14 and I want to talk about a little bit
27:41.76 about our Integrations and some of the
27:43.74 things that we do so party Matrix is
27:45.90 probably the most integrated solution
27:47.04 inside the Microsoft teams ecosystem and
27:48.96 there's a simple reason for that which
27:50.40 is
27:51.30 um I mean you're using teams right now
27:52.56 to join this webinar but a lot more
27:54.54 organizations are using teams one of the
27:56.76 things that we found is that
28:0.18 you get so many different applications
28:2.58 and then you end up being pulled in so
28:5.10 many different places the context
28:6.42 switching is really really damaging to
28:8.58 your ability to focus and this happens
28:10.98 to me all the time because you know
28:12.96 there's just so many places that's
28:14.94 tugging and pulling you um and so forth
28:17.64 so one of the things we've done with the
28:19.74 Microsoft Integrations is try to create
28:21.42 pretty Matrix and put it in the place
28:23.88 where you can switch it for the Matrix
28:25.88 sort of mindlessly and without having to
28:28.62 switch contacts and so that is why we
28:30.24 develop our our Microsoft teams and
28:31.98 Outlook Integrations
28:33.42 so I'm going to go now and show you very
28:35.70 very quickly our Microsoft teams and
28:37.26 Outlook Integrations
28:38.72 first I'll start with Outlook and the
28:40.92 reason I start with Outlook is actually
28:42.30 this is probably one of our most popular
28:43.74 application it's because we're
28:45.66 constantly challenged by email
28:47.88 management
28:49.08 um as mentioned you know I get so many
28:51.00 emails on a daily basis I simply can't
28:53.64 flag them if I flag them it's just it
28:55.86 keeps adding up
28:57.12 um so it's uh if you have five lag
28:58.86 emails great you have 500 flag emails
29:0.90 that's really not going to help you so
29:2.52 the way part of Matrix works is it takes
29:4.14 you can take any email and convert it
29:6.18 into a task so
29:9.24 to install pretty Matrix for Outlook
29:11.34 simply click on this icon up here in
29:13.86 your outlook 365. when you do that you
29:16.80 can search for a pretty pretty Matrix
29:18.42 and then after you install protomatrix
29:20.40 you're able to open it up onto this
29:22.38 right panel so I'm going to close this
29:23.82 and show you how that's done so let's
29:25.68 just say if I have an email and this is
29:28.02 an email that I got let's just assume
29:29.70 that this is an email that I got that's
29:31.14 very important and now I want to go and
29:33.18 actually create a task around it I click
29:35.16 on this dot dot dot icon here and choose
29:37.32 pretty Matrix and open print Matrix now
29:39.60 I want to note show you quickly that
29:41.70 actually you see I have a couple of
29:43.98 different options here so when you
29:45.66 install pretty Matrix just make sure
29:47.10 that you install the standard pretty
29:48.30 Matrix app because there's also the
29:50.10 HIPAA app and the government app and so
29:51.78 the blue icon versus green and orange
29:53.40 just in case you're confused if you do
29:55.56 use the different software
29:57.36 um the different platform then of course
29:58.80 those are all independent so if you use
30:0.90 the government app in teams then you
30:2.52 want to use a government app and Outlook
30:3.84 and you want to use the government app
30:5.04 in
30:6.36 um the web app as well so keep that in
30:9.00 mind but I have the standard app here
30:11.16 I'm going to open pretty Matrix
30:13.02 and what happens is on the right hand
30:15.18 side I get this panel on my Outlook that
30:18.42 allows me to take an email and capture
30:20.70 that email what capturing email does is
30:23.16 it creates a task and so instead of just
30:25.92 flagging an email what I'm doing is I'm
30:28.44 actually going to go and create a task
30:30.56 and the way it works with the task is I
30:33.18 can do all of those things that I showed
30:35.10 you earlier which is one I can have the
30:37.56 task name right which is follow up with
30:42.18 this email okay and then the second part
30:44.52 of it is I can actually choose what
30:46.32 quadrants it belongs in so if I go to
30:48.30 here earlier I created what is it a new
30:51.48 test project
30:52.92 um
30:54.24 a new project right there right that's
30:56.10 the project I created during this demo I
30:58.32 choose that project and then I choose
30:59.70 what quadrant it goes in so go ahead and
31:1.32 choose quadrant four here and then this
31:3.78 is the cool part which is I can actually
31:5.22 assign this task to somebody else and
31:7.92 the reason is simple which is one
31:9.60 sometimes I get an email and I want to
31:11.28 prioritize it
31:12.54 for myself but maybe I want to go and
31:15.06 assign that to another teammate
31:17.04 because again if it's an external email
31:19.74 that's really important
31:21.42 I want to make sure that the appropriate
31:22.92 folks are involved and actually they
31:24.48 know that they are actually
31:26.52 um responsible for this and so I can
31:29.04 choose a person right and so go ahead
31:30.84 and choose somebody else here and then
31:34.80 um I can choose the the due date again
31:36.66 I'm going to change this due date here
31:38.16 uh and then I can set effort Etc there's
31:40.74 an option to extract action item and
31:42.66 this is one of those AI element that
31:44.40 we're adding sort of on a passive side
31:46.26 the reason why we do that is
31:49.20 um again use AI if it helps you but this
31:52.68 is one of those options where it tries
31:54.24 to extract the action items for you from
31:56.16 inside that email nothing is perfect and
31:58.86 I so there's that caveat
32:0.96 um and we never you know promise that
32:3.60 everything work works out perfectly but
32:5.40 the way part of Matrix does it is it
32:7.50 goes and created the the action items as
32:10.20 appropriate for you and hopefully help
32:12.12 you save time anyways I go back to here
32:14.34 I create action item
32:16.02 and voila I get this item details here
32:19.14 I've prioritized this email and then if
32:21.66 you notice on the email itself the party
32:23.52 Matrix tag shows up and so what that
32:25.62 means is that this email has been
32:27.18 prioritized
32:28.56 um and so if I were to go back here
32:31.08 and I opened the same panel again you
32:33.36 see how that capture email option has
32:35.10 gone away and instead I get the option
32:37.20 to open the item so then I don't go and
32:39.42 prioritize the same email over and over
32:41.64 again so there's a couple of these email
32:44.54 Outlook Integrations out there and they
32:47.22 try to go and help you create tasks but
32:49.38 that's all they do they just help you
32:50.64 create more and more tasks without
32:52.20 actually helping you understand the
32:53.88 status of your existing tasks for that
32:56.34 email so with part of matrix it's
32:58.26 intelligent enough to know that hey you
32:59.76 prioritize this email already click on
33:1.68 here and you'll see the status of it
33:4.08 but the other thing I want to mention
33:5.52 too that's also unique to part of Matrix
33:7.14 for Outlook is the ability for you to
33:8.46 take this email and attach an existing
33:10.80 task because maybe you get an email and
33:13.56 you have an existing task for that
33:15.54 client or for that particular action
33:17.70 item well instead of going and create
33:20.04 another task you can actually just hover
33:21.72 over an existing task you can search for
33:23.46 them here and then just attach and so
33:25.98 what that does it attack takes the email
33:27.66 itself the email file and attach it that
33:30.30 task and now anyone who's in that eat
33:33.18 that task in that project can see the
33:35.52 email so if you forward an email the
33:37.98 problem affording email is you have a
33:40.02 thread but then if you have multiple
33:41.34 emails now you've just created multiple
33:43.08 threads and you've completely lost track
33:44.64 of everything so with pretty Matrix
33:46.44 you're able to attach multiple emails to
33:48.12 one single action item allowing you to
33:50.58 have a centralized Place understand
33:53.64 um to understand everything that's
33:55.38 relevant within the context of that task
33:57.30 within the context of that project
33:58.56 within the context of that event so
34:0.42 that's how it works
34:1.80 and if I were to go back to this project
34:3.54 here you see that email shows up right
34:6.12 here right it assigned to the
34:7.50 appropriate person it's set the
34:8.76 appropriate due dates
34:10.38 um it has the notes from the email
34:11.70 itself there's a resource section the
34:13.62 email file very very easy for me to turn
34:16.80 email into a task and delegate it and
34:18.84 now I know that this email won't be
34:21.42 dropped right because it's a sign
34:24.00 there's due dates for it and if it's not
34:26.16 done it will show up in overdue and the
34:28.50 system will send reminders to ensure
34:31.02 that you actually get it done very very
34:32.76 powerful way to
34:34.74 um capture that now the second part is
34:37.14 in the Microsoft teams integration so
34:39.30 I'm going to show you how Microsoft
34:40.14 teams integration works so if you want
34:42.06 to install pre-matrix go to the App
34:43.62 Store here and again search for
34:45.36 pre-metrix once you do print Matrix
34:47.70 shows up right here and you right click
34:49.44 on it and pin again there's different
34:51.42 versions of pretty Matrix right I have a
34:53.04 HIPAA version here I have the standard
34:54.48 version here and then once you do you
34:56.58 see this entire part of Matrix project
34:59.04 view inside Microsoft teams itself
35:1.62 what's what's nice about this is I don't
35:3.54 have to switch I can actually do this
35:5.82 all inside Microsoft teams if you use
35:7.98 teams on the mobile device we also are
35:10.02 one of the very few Integrations that
35:11.88 works inside teams on mobile as well so
35:14.04 you can see the your entire party Matrix
35:15.78 on your phone inside teams and we were
35:18.60 the launch partner with Microsoft to
35:20.34 bring that to your Android device as
35:22.08 well so keep that in mind
35:24.66 um I'm not going to go into the details
35:25.98 into the teams app here because it's
35:27.48 very very similar in terms of interface
35:29.04 right I go to Project list I see the
35:31.32 quadrants and then I can click on this I
35:33.00 see the details but there's a couple of
35:35.28 things that we can do inside teams that
35:36.96 we can't do anywhere else let me show
35:39.06 you for example I go to this chat and
35:42.00 again this is one area that I would love
35:43.74 to encourage you to do if you get a
35:45.42 chance which is when you go to here and
35:47.88 imagine if you have your various
35:49.74 co-workers on the left hand side here
35:51.36 maybe your manager maybe your colleague
35:53.40 that you worked with so many different
35:54.66 projects and you go to this plus icon
35:56.94 and when you choose party Matrix you get
35:59.16 two options the first is the ability to
36:1.68 add what's called a one-on-one view
36:3.24 which is the ability for you to actually
36:5.70 for with this person that you work with
36:7.98 inside teams see all the tasks you have
36:9.72 in common with them and then the second
36:11.34 is a full project view so let's just say
36:13.50 earlier I made a suggestion maybe you
36:15.66 can create a project that you can share
36:16.74 with your manager well let's just say
36:18.18 you have that project you can go to this
36:20.04 invite um invite your your manager and
36:23.82 now you don't even have to switch to
36:25.26 part of Matrix you can just go to this
36:26.82 tab and see all the tasks you have
36:28.26 within that project but what I want to
36:29.94 show you is our one-on-one view which I
36:31.50 think is a very very unique and Powerful
36:33.54 feature I already have it installed so
36:35.16 I'm going to open it
36:36.38 you see I've Eugenia selected here and
36:39.12 inside this channel Eugenia in the
36:41.10 one-on-one here I can literally see all
36:43.26 the tasks I have in common with her
36:46.20 across my entire party Matrix regardless
36:48.96 of projects and so the way you can
36:51.48 imagine this is
36:53.22 right we have all these projects all the
36:55.20 tasks associated with it and you have
36:56.94 multiple projects with multiple tasks
36:59.46 but if you work with someone how do you
37:3.36 know what are the things you have to do
37:4.68 for them
37:5.76 um if there's so many different projects
37:7.14 you have to switch the project and so
37:8.70 forth so pretty Matrix It flips that
37:10.56 whole thing around and gives you a
37:12.18 people-centric view and so that's what
37:14.34 this is right here it's a people-centric
37:16.14 view where it finds everything in common
37:17.76 between two people and so when I go here
37:20.34 I can see all the tasks I have and so
37:21.96 you see it's a lot more than what I
37:23.16 showed you earlier inside of Matrix and
37:24.96 not only that I can see all the due
37:26.40 dates and I can sort my due dates very
37:28.14 very easily imagine if this was my
37:30.60 manager and I go to here and I have this
37:32.40 conversation and then we start talking
37:33.72 about hey by the way what are you
37:35.34 working on what are your priorities well
37:37.02 I can literally pull this up show my
37:39.96 manager and have a conversation and say
37:42.18 by the way like these are all the things
37:43.56 I have on my plate you know which one
37:45.66 you want me to work on like hey can we
37:47.40 move the change of due dates for these
37:48.90 other tasks and so forth very powerful
37:51.24 way to stay aligned the second cool
37:53.94 thing is the ability to add tasks
37:55.92 directly from here
37:57.36 one thing we've seen over and over again
37:58.92 and you know think about the last time
38:0.48 this happened to you you go in a meeting
38:2.22 you talk about all these amazing things
38:4.80 you're going to do and then afterwards
38:7.86 um two weeks later you have a
38:9.78 conversation and someone asks by the way
38:11.40 what was the status of that and suddenly
38:13.86 the answer is like oh I forgot to write
38:15.18 that down right and so which part of
38:17.46 Matrix we encourage you to use this
38:18.96 capability to add share tasks so then
38:20.88 you can actually add the task as you
38:22.68 have that meeting
38:24.30 um perhaps if it's a web call or or
38:26.52 whatever you can go here add a task and
38:28.92 so for example

38:31.50 check in with Tom do tomorrow right so
38:35.46 if I do something like that right here I
38:37.92 can actually create the task directly
38:39.72 set the due date already by using the
38:42.24 natural language and then also my
38:44.76 managers assign and then my my I'm added
38:48.24 as a follower so I get a status update
38:49.92 on this and then all I have to do is
38:52.02 choose what project it belongs in
38:54.54 and so I can choose the project from
38:56.16 here and um
38:58.50 and then the which quadrant it belongs
39:1.26 in right the do now or do later and then
39:3.30 click on ADD and that's that's pretty
39:4.86 much it allowing me to add tasks really
39:6.60 really rapidly without having to switch
39:8.64 contacts
39:10.44 the other thing that I think is really
39:12.54 powerful in terms of our integration
39:13.98 Microsoft teams is the ability for you
39:15.72 to actually just convert any chat into a
39:17.94 task so again you're talking to your
39:19.62 manager and the person say hey could you
39:21.36 I actually have a message here could you
39:23.52 follow my time I can literally just
39:25.20 hover over this dot dot dot choose
39:27.30 create party Matrix action item and you
39:29.58 can create the task directly from that
39:31.62 conversation you've just had with that
39:33.24 person when they ask you to do something
39:35.04 right you don't have to switch a part of
39:36.42 Matrix you have to switch to another
39:37.62 application you can create the task at
39:40.38 to the appropriate quadrant create the
39:42.06 appropriate due date directly from here
39:43.62 one of the most amazing thing about this
39:46.02 particular Integrations is the ability
39:47.46 to link back to the moment in time when
39:49.26 you have those conversations so I don't
39:50.82 know if you know again this really
39:52.26 depends on
39:54.24 um your organization and so forth but
39:56.16 imagine if you created a task and then
39:59.22 six six months later you go back and say
40:1.56 wait but wait a minute what was our
40:3.18 conversation around that entire task you
40:5.40 know I lost contacts with part of Matrix
40:7.68 it actually creates a link back to that
40:10.92 moment in time inside teams when you had
40:13.08 that conversation so you know about the
40:15.48 the context this is such a powerful way
40:17.46 to
40:19.02 um remember to remind yourself why you
40:22.20 asked someone to do something Etc so
40:24.48 pretty Matrix link that back to that
40:26.70 message in that moment in time
40:28.80 the other thing you can do inside for
40:30.90 the Matrix 2 is the ability for you to
40:32.46 share tasks directly here again this is
40:34.44 one of those Integrations inside teams

40:37.80 pretty Matrix you can actually attach
40:39.90 part Matrix as as action items right so
40:42.30 I can do that and attach those action
40:43.86 items and what's neat about this is then
40:46.14 my teammate can look at this view the
40:48.12 item or save it or if they have the
40:50.40 appropriate permission they can Market
40:51.66 as done Etc

40:59.40 capabilities as well that you know we

41:51.06 again how you can get value the most out
41:54.66 of pretty Matrix today because as you
41:57.24 can see there's a lot of capabilities
41:59.00 that may or may not be relevant to you

44:40.38 sign in with that and if you're browsing
44:42.96 on SharePoint so let's imagine you're on
44:44.76 SharePoint right here you can click on
44:46.74 pretty Matrix and then convert that
44:48.78 SharePoint page into a protomatrix task
44:52.26 so if you were wanting to share a
44:55.38 particular document right from
44:57.48 SharePoint on your internet you just go
